As a Senior CSS you will not only provide critical support in ensuring the smooth operation of our clinical services but will also take on additional responsibilities related to mentoring and training junior team members. The Senior CSS will play a leadership role in maintaining the highest standards of patient care, workflow efficiency, and team development. While core duties include patient intake, scheduling, data entry, and supporting daily clinical operations, this position also requires the ability to train and mentor Care Support Specialists (CSSs) in best practices, system usage, and patient interaction techniques. As a senior team member, you will help cultivate a culture of continuous learning and compassionate care within the CSS team.

Requirements

  • Active LPN License
  • Minimum of 2 years of administrative experience in a healthcare setting, ideally in behavioral health or SUD care.
  • Strong organizational skills and attention to detail, with experience in managing scheduling, data entry, and patient records.
  • Exceptional interpersonal and communication skills, with the ability to interact with patients in a compassionate, non-judgmental, and patient-centered manner.
  • Demonstrated ability to mentor and train colleagues, with a commitment to professional development.
  • Ability to manage sensitive or challenging situations with professionalism, patience, and empathy, ensuring all patients feel supported and valued.
  • Comfort with digital tools and systems, including medical office software and EHR platforms (e.g., Athenahealth), with the ability to quickly learn new technologies.
  • Experience with insurance verification and billing practices.

Responsibilities

  • Serve as the first point of contact for patients, offering professional, empathetic communication that fosters trust and comfort.
  • Provide administrative support to ensure the smooth operation of clinical services, including managing patient intake, scheduling, and data entry.
  • Train and mentor junior CSS team members, providing guidance on administrative workflows, patient engagement, and operational efficiency.
  • Address patient concerns and challenges with understanding and unconditional positive regard, supporting and empowering patients throughout their treatment journey.
  • Collect and accurately document patient details, medical history, and consent forms, ensuring accurate data entry into the Electronic Health Record (EHR) system.
  • Verify patient insurance coverage, assist with pre-authorizations, and ensure proper documentation for billing.
  • Ensure all patient records are complete, accurate, and up-to-date in the EHR system, including treatment plans and test results, while maintaining confidentiality.
  • Collaborate with clinical and administrative staff to ensure timely and efficient patient care, addressing needs and concerns as they arise.
  • Adhere strictly to HIPAA regulations, maintaining the confidentiality of all patient-related information.
  • Assist in onboarding and training new CSS hires, fostering an environment of knowledge-sharing and professional growth.
  • Identify and recommend process improvements to enhance patient care and administrative efficiency.
