About The Position

The Senior Building Coordinator (SBC) serves as the operational lead for the College of Arts & Sciences Building Operations Program, independently administering and coordinating facility operations across 5–8 academic buildings based on staffing and operational needs. The BC exercises professional judgment to ensure continuity of building operations, occupant safety, regulatory compliance, and effective service delivery across diverse facility types. This position requires substantial responsibility for organizing, implementing, and improving operational processes, and ensuring building procedures conform to University policies and safety regulations. The BC acts as the primary liaison between building occupants, UW Facilities, UWPD, Environmental Health & Safety (EH&S), Academic Technologies, and other central service units. The position regularly develops operational methods, allocates resources, and makes decisions that directly impact program outcomes and building functionality — aligning with the UW Program Operations Specialist classification expectations.

Requirements

  • Bachelor’s degree OR equivalent experience.
  • 2-3 years experience in facilities operations, building coordination, program administration, or related operational roles.
  • Ability to exercise independent judgment in assessing operational issues and determining appropriate solutions.
  • Strong organizational skills with the ability to manage multiple buildings and competing priorities.
  • Effective written and verbal communication skills, including the ability to write clear building-wide notices and operational updates.

Nice To Haves

  • Prior experience with CAAMS, key management systems, or building access/security programs.
  • Familiarity with UW Facilities operations, EH&S procedures, and APS policies.
  • Experience coordinating emergency preparedness or safety compliance programs.
  • Event operations experience, especially in buildings with shared academic and student spaces.

Responsibilities

  • Program Administration of Building Operations (20%) Independently administer operational processes across 5–8 assigned academic buildings, workload adjusting based on staffing fluctuations and building needs. Develop and refine procedures for communication, access control, event coordination, emergency readiness, and facilities reporting to ensure program consistency across buildings. Ensure building operations conform to institutional policies, including APS 13.3 (Building Security Regulations) and APS 13.4 (Guidelines for Building Coordinators). Utilize judgment to evaluate operational issues, determine the appropriate response, and allocate resources to maintain safe and functional facilities. Review and analyze recurring facility issues and initiate process improvements to enhance efficiency and service delivery.
  • Building Communications & Stakeholder Coordination (20%) Serve as the primary contact for building occupants, triaging emailed service requests and determining appropriate units to engage (e.g., Academic Technologies, UW Facilities shops, Event Services). Exercise independent judgment to assess facility issues, identify responsible service providers, and determine timelines for resolution. Draft and distribute building-wide communications regarding operational impacts, utility shutdowns, planned maintenance, construction, safety updates, and policy changes. Conduct routine building rounds and review FOMS reports to proactively identify issues requiring action. Participate in campus-wide building coordinator meetings and required trainings.
  • Security, Access & Key/CAAMS Program Oversight (10%) Administer building access systems, including CAAMS permissions and physical keys, in accordance with APS 13.3. Authorize and submit key and lock change requests; maintain key and permit records cross-referenced by key holder, room, and authorization level. Manage CAAMS schedules, access lists, and after-hours configurations; execute or request lock/unlock schedule adjustments. Respond to on-site lockouts when available and coordinate with UWPD or FOMS for after-hours access issues. Identify and escalate safety and security concerns to UWPD, EH&S, or UW Facilities as appropriate.
  • Emergency Preparedness, Health & Safety (10%) Collaborate with EH&S to maintain accurate evacuation plans, update Fire Safety & Emergency Plans (FSEP) biannually, and support fire safety compliance across assigned buildings. Report unsanitary, hazardous, or unsafe conditions to EH&S and track resolution. Serve as an operational liaison during actual emergencies, determining the appropriate stakeholders to notify and actions to initiate.
  • Utility Shutdown, Construction, and Space Impacts (20%) Serve as primary contact for utility shutdowns affecting assigned buildings, coordinating timelines, impact assessments, communications, and special arrangements for occupants. Participate as a stakeholder in renovation and remodeling projects; coordinate access, schedule planning, and communication with project teams. Provide operational insight to ensure construction activities minimize disruption to academic and research functions.
  • Event & Quad Operations Coordination (10%) Administer building-level processes for after-hours events, Academic Technologies-supported space bookings, and quad events. Approve after-hours building use and special event requests; ensure event sponsors understand building policies, access requirements, and facility impacts. Coordinate logistics with UW Facilities, UWPD, and EH&S for high-impact events such as protests, large gatherings, or demonstrations. Manage key checkout procedures for Registered Student Organizations (RSOs) using designated spaces.
  • College Special Projects & Operational Support (10%) Support CAS Facility Manager in coordinating surplus removal, furniture moves, and small project installations across the College. Assist with small-scale project management in assigned buildings and serve as operational backup to the CAS Facility Manager. Participate in College-wide operational initiatives and continuous improvement efforts.
