About The Position

You will be a key member of the benefits team, responsible for supporting the administration of assigned benefit programs for the organization (such as Medical, Dental, Vision, Flex, HSA, Wellbeing, Retirement Savings Plan, Employee Stock Purchase Plan, Disability, Life, Paid Time Off, and other leave of absence). Using strong analytical and project management skills, this role will ensure the smooth administration and compliance of all plans. Encouraged to look at all programs with fresh eyes and drive process improvements and new ideas forward, this role is a critical part of the benefits team.

Requirements

  • Bachelor’s degree in a related field or the equivalent through a combination of education and related work experience.
  • 5 years minimum related work experience
  • Must have a strong knowledge and understanding of regulations and compliance requirements across applicable federal, state, and local regulations such as ERISA, ACA, IRC Section 401(k), IRC Section 125, HIPAA, FMLA, and ADAA.
  • Ability to maintain a high level of confidentiality.
  • Proficient in Microsoft Office products – PowerPoint, Word, Excel at intermediate to advanced level (pivot tables, v-lookup, queries, advanced formulas, macros)
  • Excellent written and verbal communication skills and attention to detail.
  • Excellent organizational and time management skills. Ability to manage multiple projects simultaneously and prioritize effectively.
  • Ability to work independently.
  • Familiar with various HRIS and benefits administration systems (especially Workday) and understanding of connection between benefits administration systems and carrier enrollments.

Responsibilities

  • Responsible for timely processing and auditing of various vendor invoices and funding files and ensuring monthly enrollment and premiums due are accurate and processed timely according to vendor contracts; complete regular and ad-hoc audits to ensure associate benefit coverage and payroll deductions are accurate.
  • Interpret the plan provisions for associates, research complex questions, and communicate conclusions to program participants.
  • Share responsibility for conducting new associate benefit orientations and supporting other benefit programs.
  • Partner with finance, payroll, HRIS, legal, and vendors to effectively and efficiently perform all aspects of benefit program management, including ensuring accuracy of benefit elections and deductions and streamlining current processes and procedures to ensure proper data flow to relevant parties; troubleshoot any errors and handle problem resolution.
  • Ensure all programs are administered according to respective federal, state, and/or local laws and regulations governing associate benefits.
  • Review, update, and/or coordinate the updates and distribution of benefit communication materials using a variety of media, to include legally required notices, summary plan descriptions, benefit guides, and employee presentation to ensure participants receive correct information.
  • Complete data submissions for benefit benchmark surveys and interpret survey results to identify areas of opportunity for market competitiveness.
  • Prepare and take ownership for governmental reporting relating to assigned benefit programs (Form 5500, etc.)
  • Lead complex vendor implementation projects from end to end. Tracks and monitors all deadlines to ensure they are met, ensures key internal partners are included (Legal, Payroll, Accounting, etc.), collaborates on marketing and communications materials, etc.
  • Assist in facilitation of the appropriate Governance Steering Committee for each of the assigned benefit programs.
  • Work with Procurement and/or external broker to drive RFP processes, including defining requirements, updating plan designs, and making vendor selection.
  • Resolve non-routine problems and continuously evaluate, make recommendations and implement new approaches to current processes and program offerings based on analysis of data/metrics.
