About The Position

The Senior Assistant Registrar for Institutional Operations provides leadership and oversight in managing student academic records, registration, grading, degree audits, and graduation processes across all programs and schools. This role ensures that academic and enrollment operations are conducted with the highest levels of accuracy, efficiency, compliance, and student-centered service. In addition to operational expertise, the Senior Assistant Registrar supervises a team of two staff members, providing guidance, mentorship, and accountability to ensure service excellence and professional growth. The position plays an integral role in strategic planning, process improvement, and technology integration within the Office of the University Registrar. As a member of the Institutional Operations leadership team, the Senior Assistant Registrar partners closely with faculty, administrators, enrollment services, financial aid, student affairs, and external accrediting bodies. The position requires balancing hands-on operational management with team leadership and strategic contributions to advance the University’s mission of student success. This position reports to the Senior Associate Registrar, Institutional Operations.

Requirements

  • Strong leadership and supervisory skills, with the ability to develop and manage a team.
  • Deep knowledge of registrar operations, records management, registration, and degree audit processes.
  • Familiarity with federal compliance regulations, including FERPA and Title IV.
  • Proficiency in Microsoft Office (Excel, Word, PowerPoint, Access); Banner or similar SIS experience required.
  • Excellent organizational, analytical, and problem-solving skills with meticulous attention to detail.
  • Strong communication and collaboration skills, with the ability to work across diverse teams and stakeholders.
  • Ability to balance operational execution with strategic thinking and process improvement.
  • Bachelor’s degree required; Master’s degree in higher education administration or related field strongly preferred.
  • 5+ years of progressive experience in registrar operations, academic administration, or enrollment management, with at least 2 years of supervisory experience.
  • Demonstrated success in managing complex student records and leading operational improvements.
  • Experience with student information systems (Banner preferred) and knowledge of compliance frameworks in higher education.

Responsibilities

  • Supervise, train, and mentor two staff members, ensuring clarity of roles, workload balance, and accountability.
  • Set performance goals, conduct evaluations, and provide coaching to support professional development.
  • Foster a collaborative, student-centered culture focused on service excellence and continuous improvement.
  • Lead team meetings and contribute to broader registrar leadership discussions.
  • In conjunction with the Senior Associate Registrar for Institutional Operations and the University Registrar’s, provides oversight to registration processes across all schools and programs, ensuring accurate course enrollment and adherence to academic policies.
  • Direct the reconciliation of enrollment data, ensuring timely and accurate reporting to institutional stakeholders.
  • Serve as Subject Matter Expert (SME) for student information systems (Banner, Degree Works, OnBase), ensuring staff proficiency and system optimization.
  • Ensure the integrity, accuracy, and confidentiality of all academic records.
  • In conjunction with the Senior Associate Registrar for Institutional Operations and the University Registrar’s, supervise the timely processing of grades, monitoring compliance with established timelines.
  • Oversee reporting on class rank, honors, and academic standing; provide quality control checks.
  • Resolve complex student record discrepancies, escalating issues as needed to the Senior Associate Registrar.
  • Direct degree audit and clearance processes for all programs to confirm eligibility for graduation.
  • Oversee commencement preparation, including candidate lists, honors designations, and communications.
  • Approve final diploma processing and coordinate replacement diploma issuance.
  • Manage transcript and verification services, ensuring fulfillment within service-level agreements.
  • Oversee the accuracy and timeliness of verifications for clinical placements, licensure, and credentialing.
  • Ensure compliance with FERPA and institutional confidentiality standards in all record-sharing.
  • Partner with Registrar team’s across campuses to maintain consistent processes.
  • Liaise with Academic Enrollment & Compliance, Financial Aid, Clinical Studies, IT, and external regulatory bodies to support compliance and institutional reporting.
  • Support reporting requirements (CAPPS, APRC, SPC), ensuring accuracy and timeliness of submissions.
  • Stay current on best practices and regulatory changes, recommending updates to policies and procedures.
  • Provide coverage for core functions as needed to ensure uninterrupted service to students and staff.
  • Perform other duties and special projects assigned by leadership.
