Sphere Studios' Visual Effects department is seeking an experienced Senior Artist Coordinator Visual Effects to provide advanced production and logistical support for our internal artist teams. This role serves as the central point of coordination across our internal VFX pipeline-ensuring projects are scoped, tracked, and delivered on time and to the highest creative standards. The Senior Artist Coordinator Visual Effects is critical to enabling our VFX Supervisors, Leads, and artists to focus on the creative by managing the operational flow-scheduling, resourcing, and communication-across multiple productions. This role is key in ensuring the department functions efficiently, supports seamless collaboration, and maintains clarity between internal teams and production partners for Sphere Studios.

Requirements

  • 5+ years' experience in VFX coordination or production management at a studio, post-production house, or creative content company, with experience supporting large-scale, multi-disciplinary teams
  • Demonstrated success managing end-to-end scheduling, task tracking, and communication across multiple concurrent VFX projects
  • Deep familiarity with ShotGrid/Flow for tracking assignments, tasks, and statuses
  • Strong understanding of the VFX production process, including asset creation, layout, animation, FX, lighting, and compositing workflows
  • Solid technical understanding of post-production tools and formats (e.g., Nuke, Maya, Houdini, C4D, Resolve, Premiere, AE, Adobe CS) and file delivery protocols
  • Exceptional organization, time management, and prioritization skills-able to adapt quickly to changing demands
  • Proven ability to partner cross-functionally with creative, production, and technical teams
  • Excellent written and verbal communication skills; able to clearly synthesize complex information and relay updates to multiple stakeholders
  • Proficiency in Microsoft 365 and Airtable
  • Calm under pressure, proactive in identifying issues, and able to maintain focus in a fast-paced environment
  • A self-starter with strong initiative, attention to detail, and a collaborative mindset
  • Ability to work non-standard hours (production hours) as needed
  • Occasional travel to Sphere Venue in Las Vegas may be required

Responsibilities

  • Serve as the primary point of contact for the internal VFX artist team, overseeing day-to-day task management, scheduling, and deliverables across multiple productions
  • Work closely with VFX Supervisors, Leads, and production staff to allocate internal resources and balance artist workloads across active projects
  • Manage and schedule in-house dailies sessions; compile and organize artist submissions for review and delivery
  • Track shot progress, conduct daily check-ins, and ensure all tasks are properly logged, updated, and communicated in ShotGrid/Flow
  • Partner with production teams to ensure all turnover materials, references, and notes are properly distributed and available to artists
  • Maintain accurate tracking of project milestones, dependencies, and risks; proactively flag issues and propose solutions to keep schedules on track
  • Coordinate with render and pipeline teams on upcoming review deadlines, resource prioritization, and technical needs
  • Support the bidding and breakdown process for new work as needed, collaborating with production management and supervisors to scope internal capacity
  • Ensure studio documentation and production schedules (ShotGrid, Airtable, etc.) remain accurate and accessible
  • Contribute to post-project review, documentation, and archival of learnings and assets
  • Additional duties as assigned by management
