About The Position

The senior administrator serves as a trusted strategic partner to high-level county officials, providing executive level administrative leadership, portfolio coordination, and advisory support. This role oversees the coordination and execution of priorities within the officials’ portfolio, manages complex executive schedules, and advises on critical issues and projects. This position requires exceptional judgement, discretion, and the ability to operate effectively in a fast-paced environment.

Requirements

  • Bachelor’s degree from an accredited college or university in Business Administration, Political Science, or other closely related field; OR an equivalent combination of related education and experience.
  • Knowledge of: Executive-level operations, communications, and organizational decision-making processes.
  • County government policies, procedures, and compliance requirements.
  • Project management principles and tools (i.e., Trello, Microsoft Office Suite, SmartSheet, etc.)
  • Administrative best practices and workflows related to scheduling, purchasing, staff and project coordination, and other operational functions.
  • Skills and Abilities to: Exercise sound judgment, discretion, and professionalism when handling confidential and sensitive information.
  • Conduct strong analytical research, with the ability to synthesize information into clear briefings and recommendations for high-level officials.
  • Manage complex projects and systems ensuring timely delivery and desired outcomes.
  • Maintain strong interpersonal and relationship management skills enabling effective collaboration among senior leaders, staff, and internal and external stakeholders.

Responsibilities

  • Act as a trusted advisor to senior officials providing strategic insights on operational, policy, and organizational matters across a diversified portfolio.
  • Manage and optimize high-priority calendars and schedules for senior executives ensuring alignment with organizational priorities.
  • Prepare agendas, briefing materials, and follow-up documentation to support efficient decision making.
  • Serve as the key point of contact and liaison across the officials’ portfolio and between other internal/external stakeholders while exercising sound judgement and discretion.
  • Operational hub for all things related to the portfolio.
  • Support the development and implementation of policies related to the executives’ portfolio.
  • Conduct research and analysis, as needed, to inform policy decisions.
  • Communicate policies clearly and consistently across relevant teams and areas.
  • Anticipate emerging issues and proactively brief officials with relevant context and recommended courses of action.
  • Coordinate and support the execution of a wide array of special projects within the portfolio and the Mayor’s Office.
  • Lead internal project management workflows.
  • Assess and improve processes to enhance efficiency and consistent delivery of outcomes.
  • Actively supports the Mayor’s Chief of Staff and Executive Operations Manager, as directed, on special projects, events, and administrative policy and processes.
