The Senior Administrative Support Coordinator will work directly with the Plant Manager by providing daily administrative support in the office setting and provides administrative support to identified Site Leadership Team members with prior Plant Manager authorization, as applicable. This role completes tasks given in a timely and efficient manner with minimal guidance while adhering to company policies.

Requirements

  • Bachelor Degree with 3+ years of related experience or equivalent education and years of experience in regulated industry
  • Strong communication, organization and interpersonal skills.
  • Must be fully bilingual (English/Spanish) including verbal, written and comprehension skills.
  • Ability to manage multiple priorities in a fast-paced regulated environment, while maintaining attention to detail.
  • Demonstrated proficiency with Microsoft Office Suite skills, such as Word, Excel and PowerPoint, as well as, other general office equipment and related virtual platforms such as Teams.
  • Experience in successfully planning site events, including exposure to corporate and external visits
  • Demonstrated ability to handle sensitive information with confidentiality and professionalism.
  • Availability of working on-site during normal business hours.

Responsibilities

  • Provides administrative support to Plant Manager, including calendar management, travel arrangements, expense reports, site leadership team org charts, applicable presentations and reports, registration for external meetings, seminars and/or workshops, among others.
  • Requests vendor quotes and related requisitions through internal systems (ie: Oracle) as required.
  • Coordinates and arranges internal and external meetings, including setting agendas, conference room reservations, sending meeting invitations, confirming participation, meal & beverages arrangements, related presentations and materials.
  • Supports and coordinates internal and external visitor’s logistics.
  • Provides copies and administrative documents editing as needed.
  • Prepares and sends applicable administrative packages and official company letters as needed.
  • Supports the organization of Microsoft Office Teams folders and channels as required
  • Maintains and orders all daily office supplies/equipment for recurrent use
  • Supports filling and record retention tasks as applicable
  • Supports Plant Manager in organizing site town halls and sending site communications, as applicable
  • Supports New Employee Orientation (NEO) logistics and related communications
  • Works with Plant Manager and HRBP on community outreach and P.R. industry related matters (ie: SWIA, PRMA, others)
  • Supports site specific engagement related matters as needed.
  • Responsible for assigning employee lockers and related logistics.
  • Maintains high discretion and confidentiality on sensitive topics as required.
