Reporting to the Executive Assistant, this role provides essential administrative and operational support to senior leadership and contributes to maintaining an efficient, well-organized workplace. In addition to executive support, this position will manage key workplace operations to help ensure a productive and welcoming environment for employees and visitors.

Requirements

  • Bachelor's degree or equivalent experience in administrative support, office operations, or a related field.
  • 5+ years of experience in administrative, executive support, or office management roles; experience in biotech or pharmaceutical environments preferred but not required.
  • Proficiency with Microsoft Office 365 Suite (Outlook, PowerPoint, Word, Excel, SharePoint).
  • Experience with video-conferencing tools (e.g., Zoom, Microsoft Teams).
  • Experience using travel booking and/or expense management systems (e.g., Concur).
  • Ability to manage confidential information with discretion.
  • Strong organizational and time-management skills, with the ability to prioritize multiple tasks.
  • Demonstrated problem-solving skills and ability to work independently and collaboratively.
  • Ability to build effective working relationships across various teams and levels.
  • Strong written and verbal communication skills.

Responsibilities

  • Meeting & Event Coordination : Schedule and organize internal and external meetings, including reserving conference rooms, preparing agendas, supporting AV/VC setup, and coordinating catering needs.
  • Travel Arrangements : Coordinate domestic and international travel, including flights, accommodations, and transportation, ensuring timely and accurate logistics.
  • Communication : Serve as a primary point of contact for supported leaders, responding to internal and external inquiries with professionalism and discretion.
  • Collaboration : Work closely with the Executive Assistant to the CEO to provide coordinated C-suite support, ensure appropriate coverage, and assist with special projects.
  • Workplace Experience : Help maintain office spaces, conference rooms, and shared areas to ensure they remain clean, organized, and functional.
  • Vendor Coordination : Communicate with building management and external vendors (e.g., facilities services, office supplies) to support daily operations.
  • Visitor Experience : Welcome and support visitors, candidates, and external partners to ensure a positive and inclusive experience.
