About The Position

In the role of Sr. Administrative Assistant working in Milwaukee, WI, you will be responsible for providing high-level administrative support to senior leaders and their teams in the Legal & Government Affairs function. This position exercises considerable discretion and independent judgment. Effective time and people management skills are critical as well as sound communication skills associated with routine and high-level written and verbal correspondence. The role will also require entry into SAP for certain financial functions and support with purchase orders and accounts payable, and management of the legal department’s ebilling, invoicing of customers, and matter management systems. This role reports to the Legal Operations Manager and works closely with employees, managers and leaders across the company.

Requirements

  • You have a high school diploma/GED
  • You have at least 5 years of experience as an administrative assistant
  • You have advanced proficiency in MS Office Suite and SAP purchase orders and Concur experience.
  • You maintain confidentiality and work with sensitive information in a professional manner.
  • You love a challenge. You complete complex projects quickly and adeptly with your understanding of the business priorities.
  • You build relationships and collaborate to get to the desired outcome.

Responsibilities

  • Compile and produce complex information for inclusion in reports or presentations, including the creation of charts, graphs or tables
  • Responsible for complex office activities, special projects, high-level correspondence verbally or through email, phone, and mail
  • Prepare and file key records, statistics and reports
  • Administer programs, projects, or other processes specific to legal and government affairs
  • Process and track purchase orders, check requests, and legal fee invoices
  • Create, maintain, and utilize databases containing information on ditch company customers for billing, legal filings, and other regulatory requirements
  • Support management of ebilling and matter management platform (currently CounselLink and SharePoint) and interfacing with law firms and external vendors
