About The Position

RPM Physical Therapy is hiring a Senior Administrative Assistant to support the backend operations of our clinic while providing front desk coverage as needed. This role is ideal for someone who enjoys organization, systems, and operational problem-solving and is interested in growing into a higher-level operations or management role over time. This is not a traditional front desk position. The primary focus is backend administrative support, reporting, payroll assistance, audits, and operational coordination. RPM Physical Therapy is a one on one, orthopedic, manual therapy-based clinic that has been open for 5 years. Our patient population primarily consists of patients 35 + and up with a history of chronic pain, failed surgeries, and those focused on living an active, mobile lifestyle for the rest of their lives. That being said, we treat patients as young as 11 and as old as 92, athletes and non-athletes with a variety of orthopedic related injuries including post-surgical rehabilitation but primarily focused on avoiding surgery. On top of offering physical therapy and mobility services we are a fully equipped personal training gym as well. Once our clients transition out of physical therapy and are in need of routine, challenging, safe exercises we line them up with one of our personal trainers who are overseen by our own Physical Therapists.

Requirements

  • Strong organizational skills and attention to detail
  • Comfortable working in Google Sheets or Excel
  • Experience with administrative operations, payroll support, or reporting preferred
  • Ability to manage multiple priorities with accuracy
  • Professional written and verbal communication
  • Proactive, problem-solving mindset
  • Comfortable in a fast-paced, high-expectation environment

Responsibilities

  • Assist with payroll preparation, time tracking, and administrative audits
  • Maintain and update spreadsheets, reports, and operational trackers
  • Support monthly payments, internal financial tracking, and reporting
  • Prepare summaries and reports for leadership review
  • Assist with schedule audits, attendance tracking, and administrative compliance
  • Maintain organized digital records and internal documentation
  • Assist with onboarding coordination and administrative HR documentation
  • Support internal performance documentation and process tracking
  • Help ensure internal procedures and policies are followed consistently
  • Answer inbound calls and assist with scheduling during coverage gaps
  • Support client communication during high-volume or short-staffed periods
  • Ensure a smooth client experience when assisting the front desk team
  • Identify inefficiencies and suggest workflow improvements
  • Support leadership with operational projects and process development
