About The Position

This position will be located at the East Hanover, NJ site and will not have the ability to be located remotely. This position will require minimal travel as defined by the business (domestic and/ or international). Novartis is unable to offer relocation support for this role: please only apply if this location is accessible for you. Company will not sponsor visas for this position. The Senior Administrative Assistant provides support to the Customer Engagement team in a professional and efficient manner. The role requires the ability to handle several assignments at once, proactively seek solutions within the organization, anticipate the manager's needs, demonstrate strong attention to detail, and work collaboratively as part of a team.

Requirements

  • High School Diploma required.
  • 5+ years’ administrative experience.
  • Excellent planning and organizational skills with attention to detail.
  • Demonstrated accuracy and speed in the use of standard office tools including Word, Excel, and PowerPoint.
  • Ability to be resourceful, obtain information from the Intranet, learn new software programs quickly.
  • Excellent interpersonal skills (team player).
  • Excellent (oral and written) communication skills.

Nice To Haves

  • Associate’s Degree or Bachelor’s Degree.
  • A strong understanding of Novartis Pharmaceuticals Organizational policies and procedures is a plus.

Responsibilities

  • Responsible for managing complex calendaring, arranging travel, processing expense reports, coordinating video conferences and internal/external meetings, documenting staff meeting minutes with actionable items, and demonstrating the capacity to quickly acquire new technologies.
  • Maintain strict confidentiality and handle sensitive materials securely across all management levels in a consistently professional manner.
  • Superior interpersonal and written/oral communication skills are essential for effective interaction with both internal stakeholders and external partners; ability to lead through influence and continuously refine administrative processes is required.
  • May draft correspondence and communicate information on behalf of the manager as needed.
  • Develop and prepare routine presentations, memorandums, and reports for review and approval; proficiency in working with financial or budget headcount reporting systems to produce tracking reports is necessary.
  • Oversee purchasing approvals and authorizations on behalf of the supervisor, exercising designated spending authority in accordance with established guidelines.
