About The Position

We are seeking a Senior Accounting Assistant to support the Controller in a multi-company, multi-state organization. This role requires hands-on experience with QuickBooks Desktop, multi-state payroll, and HR functions including benefits administration and workers’ compensation claims. This is a high-responsibility role suited for an experienced accounting professional who thrives in a fast-paced, detail-driven environment.

Requirements

3+ years of accounting or bookkeeping experience
Strong QuickBooks Desktop experience required
Multi-state payroll experience (Gusto preferred)
HR experience including benefits administration and WC claims
Strong understanding of GL accounting and reconciliations
Excellent attention to detail and organizational skills

Responsibilities

Maintain accurate financial records and general ledger entries
Reconcile subsidiary ledgers to the general ledger
Prepare multi-company balance sheets, P&Ls, and financial reports
Process and reconcile all credit card activity in QuickBooks Desktop
Review and process vendor invoices and credits with proper GL and class/project coding
Communicate with Purchasing and Territory Managers to resolve invoice coding issues
Maintain accounts payable inboxes, documentation, and vendor communications
Assist in budgeting, forecasting, and financial planning aligned with ownership goals
Build and present weekly accounting summaries (AP, AR, open issues)
Assist with inventory tracking and process development
Support special accounting and reporting projects as assigned
Process multi-state, multi-rate payroll through Gusto
Assist with employee benefits administration and open enrollment
Support workers’ compensation claims, reporting, and documentation
Respond to employee and management payroll/benefits inquiries
