About The Position

The Internet Archive is a non-profit library, headquartered in San Francisco, with an ambitious mission: to provide universal access to all knowledge-the books, web pages, audio, television and software of our shared human culture. Our 90 engineers, archivists, librarians, and team members have built one of the top 300 websites in the world, https://archive.org/ . The Internet Archive digitizes thousands of books a day and collects a hundred million web pages a week. In its 25+ years, it has built one of the largest digital libraries in the world by working with hundreds of national and international libraries, archives, museums, universities, and non-profits. The Internet Archive is seeking a Senior Accountant/Financial Analyst to join our Finance team and support the financial operations of a mission-driven nonprofit dedicated to universal access to knowledge. Reporting to the Director of Finance, this role manages core accounting functions, strengthens internal controls, leads grant and donation accounting, and contributes to continuous process improvement.

Requirements

  • Bachelor s degree in Accounting or Finance (required)
  • 5+ years of accounting or finance experience (required)
  • Strong experience with QuickBooks Premier or Enterprise (required)
  • Proficiency with Google Workspace, Microsoft Office, and Zoom
  • Deep understanding of GAAP, internal controls, month-end close, and audit processes
  • Strong communication skills with the ability to explain financial concepts to non-finance stakeholders

Responsibilities

  • Prepare customer and partner invoices; record electronic donations and payments.
  • Support A/P processing, expense reviews, payroll and bank reconciliations, and credit card analysis.
  • Assist with cash planning and expenditure forecasting.
  • Maintain and monitor internal controls across bank accounts, petty cash, credit cards, A/R and A/P.
  • Identify discrepancies and ensure timely resolution.
  • Support audit preparation and documentation needs.
  • Oversee financial management of federal, state, and private grants.
  • Develop and monitor grant budgets and ensure compliance with grantor requirements.
  • Prepare accurate grant financial reports; manage billing and receivables; conduct time and effort reporting.
  • Record and reconcile all donations, pledges, and fundraising revenue.
  • Ensure proper classification of restricted/unrestricted funds.
  • Maintain data integrity between CRM and the general ledger.
  • Support adoption of cloud accounting/ERP systems.
  • Represent the Finance Department as needed and contribute to ongoing process improvements.
  • Other duties as assigned by the Director of Finance.
