About The Position

The Sr. Academic Program Specialist (APS) for the Integrated Studies Program will serve as the lead academic advisor and specialist for the department's program and services and as the primary point of contact for students, offering individualized guidance on course selection, degree planning, and navigating academic challenges. The Sr. APS actively monitors students' progress, identifying those who may benefit from additional resources or interventions, and makes referrals to appropriate campus services. Ensures that students are well-supported and able to make informed decisions regarding their academic pathways. Additionally, the Sr. APS is tasked with maintaining current and accurate academic records, including the evaluation and articulation of course credits. Collaborates closely with faculty and administrative staff to ensure that the students' academic experiences align with program standards and university requirements. This position requires a deep understanding of various iterations of university and academic program requirements and the ability to communicate complex academic information clearly.

Requirements

  • A Bachelor's degree and four years of experience; or a high school diploma or equivalent and eight years of experience. (Note: a combination of post high school education and experience equal to eight years.)

Responsibilities

  • Guide students through academic processes (admissions, readmissions, schedule planning, registration, add/drop, academic recovery, withdrawals, and graduation planning).
  • Build formative relationships with students, interpret academic procedures, and provide comprehensive guidance toward degree completion.
  • Provide academic support to students, including guidance in course selection.
  • Monitor academic progress and assess other academic support needs.
  • Make appropriate referrals to campus support resources.
  • Maintain regular communication with students regarding program requirements.
  • Evaluate and articulate transfer credits from other institutions.
  • Maintain accurate student academic records in compliance with university regulations.
  • Collaborate with faculty and staff to ensure students' academic experiences meet program standards.
  • Utilize student information systems and other software tools to manage records and track student progress.
  • Maintain academic and student contact records, ensuring accurate recording of all course credits.
  • Serve as the expert on the transferability of external courses and their equivalents toward degree requirements.
  • Evaluate all transcript to identify equivalent transfer credits.
  • Review and enter course exceptions approved by the program directors and Integrated Studies faculty.
  • Stay informed about course descriptions, prerequisites, course leveling, and other advising information necessary for accurate transcript assessment
  • Ensure all course credits are accurately recorded in the student information system and report any discrepancies.
  • Plan and oversee various advising and retention efforts(academic recovery, Satisfactory Academic Progress Requests, etc) for Integrated Studies students.
  • Identify students needing additional academic support, intervention, or guidance and refer them to appropriate resources.
  • Facilitate problem-solving and decision-making with students.
  • Analyze student data (graduation rates, course success rates) to identify trends to inform program initiatives decisions.
  • Maintain up-to-date knowledge and communication with academic affairs office, program directors, Integrated Studies Faculty, academic advisors, and other university departments.
  • Stay up-to-date on changes in academic policies, curriculum requirements, and advising best practices.
  • Foster good working relationships with appropriate university and campus partners.
  • Perform additional tasks as required, contributing to the overall effectiveness and efficiency of the Integrated Studies Program.
