Job SummaryThe Parish Secretary serves as the primary administrative and clerical support for the parish, assisting the pastor and parish staff while acting as a welcoming and professional point of contact for parishioners and visitors. This position supports the mission of the Catholic Church through efficient office operations, confidentiality, and a spirit of service.

  • Serve as the primary receptionist, answering phones, emails, and greeting visitors courteously
  • Maintain parish calendars, schedules, and facility reservations
  • Prepare correspondence, bulletins, newsletters, and parish communications
  • Maintain organized filing systems (physical and electronic)
  • Order office supplies and manage office equipment
  • Maintain confidential sacramental records (Baptism, First Communion, Confirmation, Marriage)
  • Prepare certificates and letters as requested, following diocesan guidelines
  • Assist parishioners with sacramental preparation paperwork
  • Assist with basic bookkeeping tasks (donations, invoices, deposits, reports) as assigned
  • Maintain parish database and update parishioner records
  • Process mail, payments, and routine financial documentation
  • Practicing Catholic in good standing preferred
  • High school diploma required; associate degree or equivalent experience preferred
  • Prior administrative or secretarial experience
  • Proficiency in Microsoft Office, Google Workspace, or similar software
  • Ability to maintain confidentiality and handle sensitive information
  • Strong organizational and time-management skills
  • Excellent written and verbal communication skills
  • Professional demeanor and interpersonal skills
  • Ability to work independently and as part of a faith-centered team
  • Understanding of Catholic Church structure, terminology, and sacramental practices
