About The Position

Operating under the general supervision of the school Principal(s), the employee will perform a variety of secretarial responsibilities and performs all attendance related duties. Employee acts as a technical resource for others inside the district including administrators, staff, teachers, students, and parents by maintaining accurate and complete student attendance records. This position responds to electronic and in person inquiries which requires interpreting policies while providing information. They are also often a first point of contact for the public, staff, students, and parents entering the school and must work cooperatively to facilitate these interactions.

Requirements

  • High school diploma or equivalent and including courses in office technology and office skills
  • Minimum of one year clerical and/or secretarial experience required.
  • Criminal background check required for hire
  • CPR and First Aid certifications within 60 days of hire

Responsibilities

  • Monitors and processes daily student attendance data entries in the student tracking database and maintains attendance records according to district policy.
  • Generates a variety of attendance related reports for administrative staff and state compliance requirements.
  • Issues timely attendance/illness letters and other correspondence providing customer service to attendance related communications.
  • Provides substitute teacher assistance regarding attendance and general overall school lay-out and works with the Attendance Case Managers providing reports, information, and updates as needed.
  • Supports the front counter and office traffic providing assistance across a variety of topics including but not limited to early/late departures/arrivals, visitor sign in/out, and student/staff in-school contact as necessary.
  • Facilitates general customer service assistance for staff, parents, visitors, vendors, and student questions and concerns.
  • Answers the telephone throughout their day and is responsible for maintaining the automated calling system.
  • Maintains timely updates to the student cumulative (CUM) files and student tracking database in accordance with district policy.
  • Coordinates and documents new student enrollment, registration process, and oversees student transfer requests in compliance with School of Choice policy.
  • Handles documentation process of student suspensions, withdraws, and expulsions.
  • Oversees internal transfer of student CUM Folders to and from Pupil Records.
  • Assists with the state mandated October Count through the generation of monthly and annual count reports and functioning as a contact person for the school's October Count event.
  • Updates and generates Grade Report Cards then oversees the distribution of midterm and yearend Report Cards.
  • Prepares a variety of reports, letters, and other communications as requested by administrators and/or teachers.
  • Perform updates to the parent communication website School Connects and conducts other clerical duties as needed.
  • Provides training, task assignment, and supervision for Office Student Aides as assigned.
  • Performs the duties of the Health Assistant and/or Work Room Assistant in their absence.
  • Prepares, compiles and submits data for annual CDE reports
  • Perform other duties as assigned.
  • Receives, processes and distributes library materials, books and media to all District schools, public and private.
  • Assists the Library/Media Catalogue Specialist with daily library traffic providing assistance across a wide variety of topics including but not limited to utilizing the District's integrated library system.
  • This position facilitates basic research and general customer service assistance to District 51 students, staff, and community library users.
  • Maintains timely updates to District database systems regarding library and media accounts including preparing overdue notices and billing statements.
  • This position manages inter-library and intra-library loans of materials and books for school libraries.
  • Duties under this responsibility include checking-in and checking-out materials, receiving new materials into District inventory and proper labeling of new resources.
  • Troubleshoots order errors for the District's library and media inventory from a variety of third-party Vendors.
  • Requires excellent inventory tracking and public relations skills to facilitate returns, replacement materials, error reconciliations, and payments with vendors and District schools.
  • This position is often the first point of contact for library vendors and as such must work cooperatively to facilitate these interactions.
  • Coordinates the District's magazine and journal subscription orders for each school.
  • Providing access to a variety of resources such as, e-books, text-based databases, digital archives, journals, and magazines this position oversees the entire order process each spring including ordering, receiving, distributing, and payments.
  • This position is the liaison between schools and magazine jobbers.
  • Organizes the Secondary and Para-Librarian meetings including setting up the facility, meetings schedules, preparing the agendas and meeting materials.
  • This position attends these meetings and documents the meeting minutes.
  • Prepares a variety of reports, book/media lists, signage and materials displays as well as other communications as requested throughout the year and compiles data for reports as requested and/or needed.
  • This position also assists school Library/Media Secretaries and Elementary Paraprofessionals with inventory counts and partakes in developing updates to Library policies and procedures.
