About The Position

Secretary III Euola is seeking Secretary III to provide administrative and analytic program management support to the Region 1 Program Offices and the Contract Guard Program. This position supports the Regional Director, Deputy Regional Director, branch chiefs, and associated program offices in delivering FPS's mission.

Requirements

  • Advanced proficiency in Microsoft Office (Word, Excel, PowerPoint; strong Excel emphasis).
  • Familiarity with financial systems and ability to support budget and cost tracking.
  • Strong written and oral communication skills, including ability to prepare executive-level presentations.
  • High attention to detail, ability to meet planned and unplanned deadlines, and work independently with minimal supervision.
  • Professionalism and ability to interact effectively with government staff and the public; business casual dress required.

Nice To Haves

  • Education: High school diploma required; business/secretarial coursework preferred.
  • Experience: 3–5 years of executive-level administrative or secretarial experience desired.

Responsibilities

  • Provide executive-level secretarial support to the Regional Director and Deputy Regional Director.
  • Manage correspondence, communications, and scheduling, and maintain official records and data systems.
  • Screen calls and visitors for RD/DRD; route only those requiring leadership attention and personally handle many information requests.
  • Maintain correspondence flow, records, and files for all FPS matters for the RD/DRD office.
  • Prepare and manage a wide range of documents (correspondence, reports, statistics, databases, calendars) using Microsoft Office.
  • Maintain and update web-based data systems by entering significant incidents, inspections, and technical reports; interpret data and seek clarifications to ensure accuracy.
  • Maintain official personnel files and safeguard sensitive personal information in accordance with policy.
  • Prepare and submit travel authorizations and vouchers; make and adjust travel and lodging arrangements for the RD/DRD.
  • Consolidate information and prepare briefing sheets for weekly and ad hoc calls and meetings; manage conference room scheduling.
