About The Position

The Secretary III provides advanced administrative support within a complex, multi-tiered organizational structure supporting executive leadership with broad programmatic and financial authority. This role operates with significant independence and discretion, managing formal coordination, procedural controls, and executive communications across multiple organizational segments. The position anticipates executive needs, interprets policies, and facilitates high-level administrative operations in support of organizational objectives. Requirements

  • Approximately eight (8) or more years of progressive experience in administrative or executive support roles.
  • Experience supporting senior leadership within a complex organizational structure.
  • Demonstrated ability to exercise independent judgment in non-routine situations.
  • Experience interpreting policies, procedures, and organizational guidelines.
  • Strong analytical, organizational, and prioritization skills.
  • Advanced written and verbal communication skills.
  • Ability to coordinate across multiple levels of management and external stakeholders.
  • Ability to handle highly sensitive and confidential matters with discretion.
  • Proficiency in standard office software and document preparation tools.
  • Associate’s Degree required;OR equivalent combination of education and relevant experience.

Responsibilities

  • Compose correspondence on administrative matters and general office policies based on knowledge of the executive’s views and priorities.
  • Anticipate and prepare materials required for conferences, meetings, correspondence, telephone calls, and appointments.
  • Inform the executive of matters requiring attention and recommend appropriate courses of action.
  • Review publications, regulations, and directives; take action or refer significant matters to the executive and staff.
  • Prepare special reports, summaries, and responses to inquiries by selecting and synthesizing relevant information from multiple sources.
  • Coordinate formal clearances and procedural controls across interrelated organizational segments.
  • Manage extensive scheduling and coordination involving internal leadership and external stakeholders.
  • Interpret and adapt guidelines, precedents, and practices in non-routine or evolving situations.
  • Advise secretaries in subordinate offices on new procedures and administrative requirements.
  • Request and consolidate information from subordinate offices for reports, conferences, and special initiatives.
  • Reallocate clerical resources within the office to meet shifting workload demands.
  • Maintain awareness of organizational financial, personnel, and administrative processes to support executive functions.
