About The Position

The person in this position works under the general supervision of the Building Administrator and is responsible for general administrative office support and services. This person manages daily work pressures, requiring constant concentration to a volume of work which must be completed within a limited period of time. This position requires the person to work with many different students, staff, parents, and community members and to use independent judgment and be willing to make decisions. ESSENTIAL DUTIES AND RESPONSIBILITIES Employees in this position perform some or all of the following tasks. Other related duties as assigned. Demonstrates regular and acceptable attendance and punctuality, as set forth in Board policy. Be familiar with and adhere to all relevant Board policies, administrative regulations, and building rules. Interacts thoughtfully and courteously with students, staff, parents, and community members and resolves conflict in a professional manner. Works independently and cooperatively in teams with other staff members and students. Attends staff meetings. Attends in-service and workshop trainings; applying training to instructional responsibilities. Completes required mandatory trainings. Completes appropriate logs, forms and paperwork, as Reports safety, sanitary and fire hazards immediately to Reports issues to authorities as necessary, animal control, suspicious activity Operates and troubleshoots office machinery (copy, fax, postage meter, etc.). Proficient in Word, Excel spreadsheets, Google, and the use of other office equipment, such as computers, calculators, copy equipment, mail machines, etc. Prepares and processes documents and reports requiring familiarity of program subject matter knowledge with accuracy and expediency (i.e., attendance and truancy reports, behavior reports, etc.). Types correspondence, reports, and other documents; may compose correspondence according to general instructions; performs word processing tasks. May serve as receptionist; responding to routine inquiries for information; and routing calls to other individuals or departments for response. Schedules conferences and programs, as required, including creating schedules, contacting all invited parties, preparing confirmation, and distributing materials to all parties (teachers, specialists, parents, etc.). Performs a variety of photocopying duties. Organizes and distributes mail, including confidential mail. Monitors supply usage and assists in comprising necessary supply orders. Maintains current first aid/CPR certification and performs first aid duties, when required. Communicates clearly and concisely, both orally and in writing. Maintains student/parent/staff confidentiality. Works independently under pressure with numerous interruptions to prioritize tasks to meet deadlines while maintaining a high degree of accuracy and attention to detail. Organizes some school events and community outreach. Records and tracks attendance, runs attendance reports, updates parent information in student information systems, calls parents daily to report unexcused absences and tardies, generates and processes truancy letters. Effectively manages the health room, including medication prescribed to students, accident report forms, first aid supplies, supplies basic first aid, as necessary, and communicates with home regarding health-related topics. Follows health management plans, accident protocols, and required documentation. Assists in maintaining immunization records and exemptions. Makes follow-up calls for chronically absent students. Facilitates student volunteers from other schools. Facilitates and manages locker assignments. May serve as a committee member on the building Crisis Intervention Team. Performs related duties consistent with job descriptions and assignment.

Requirements

  • High school diploma or General Education Diploma (GED) and related experience in typing, general clerical training, and/or equivalent combination of education and experience.
  • Ability to accurately enter and retrieve computerized data.
  • Works well with others from diverse backgrounds.

  • Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.

  • General knowledge of computer usage and ability to use, e-mail, internet software, word processing software, and computer programs used by the District.
  • Ability to type accurately and proficiently.

  • Ability to meet timelines and exercise good judgment while working in a dynamic environment.
  • Certificates as determined by the District, including meeting current highly qualified requirements under the reauthorized ESEA.
  • Ability to obtain a valid CPR/First Aid card.
  • Participate in bloodborne pathogen training, and blood spill training annually.
