About The Position

MTC operates the Inland Empire Job Corps Center in San Bernardino, CA, providing quality services to local youth. The Secretary II, Finance & Administration position involves performing a variety of clerical and administrative duties in compliance with government and management directives. The role supports the designated director and contributes to maintaining a safe and clean work environment, providing quality customer service, and participating in student employability programs. The incumbent is also expected to promote Career Success Standards and adhere to the Job Corps’ Zero Tolerance Policy.

Requirements

  • High school diploma or general equivalency diploma (GED)
  • Two years related secretarial experience.
  • Experience with youth
  • Excellent written and verbal communications skills
  • Computer proficiency
  • Valid driver’s license with an acceptable driving record, unless waived by management.

Responsibilities

  • Receive telephone calls and visitors; handle routine matters personally and route non-routine business to proper staff for consideration.
  • Maintain calendar and schedule appointments.
  • Act as liaison between director and other center and departmental staff.
  • Maintain correspondence control log, receive incoming and outgoing mail and follow-up on dates for action items.
  • Perform a variety of clerical and administrative duties; preparation of special reports meeting minutes, maintain files and records, statistical data, make travel arrangements and provide computer program support (including e-mail).
  • Perform secretarial duties including typing of correspondence and other materials.
  • Maintain and update the center’s administrative library of required government, corporate and center policies and procedures, handbooks and directives.
  • Maintain a report/plans control log, review reports, plans and correspondence for accuracy and clarity, follow-up on due dates and ensure compliance with schedules.
  • Assist in the maintenance and update of the center’s master standard operating procedures (SOP) program in coordination with all staff managers.
  • Make recommendations for purchase of equipment/supplies; maintain expense account records, financial reports and confidential files.
  • Enter information as directed into center information system (CIS) and other automated systems.
  • Prepare special reports as directed.
  • Maintain a safe and clean work area that models high standards for a work environment.
  • Provide positive, quality customer services to students, staff and other center customers.
  • Participate in student employability programs and activities.
  • Support, promote, and enforce the Job Corps’ Zero Tolerance Policy.
  • Promote the development of Career Success Standards by modeling appropriate behaviors, mentoring students where necessary and monitoring both positive and negative behaviors through interventions.
  • Maintain accountability of students and property; adhere to safety practices.
  • Cultivate and maintain a climate on center which is free of harassment, intimidation and disrespect to provide a safe place for staff and students to work and learn.
  • Perform other duties as assigned within his/her capabilities as determined by management.
