About The Position

MultiCare’s Pulse Heart Institute is a physician-led institute with multi-specialty partnership with Cardiothoracic surgery, vascular and cardiovascular service lines, aiming to be a world-class health care organization for cardiac, thoracic, and vascular care. The Scheduling Operations Coordinator will collaborate with Cardiothoracic Surgery and Vascular Surgery templates across the Puget Sound Region (Auburn, Tacoma, Puyallup, and Olympia). This role partners with leadership to effectively manage scheduling templates and APEX for multiple MHS Partners, involving planning, designing, and modifying existing templates for all locations. The ideal candidate works collaboratively, independently, demonstrates strong analytical skills, and uses good judgment to improve scheduling processes and increase appointment capacity. The position requires the use of Epic, APEX, and Excel.

Requirements

  • Four (4) years or more of experience in a Centralized Call Center setting

Nice To Haves

  • Post-high school clerical vocational training or college coursework
  • Four (4) years of Epic experience

Responsibilities

  • Manages template change requests; evaluates and prioritizes requests, coordinates cross-functional teams, implements changes, conducts testing and quality assurance
  • Ensures proper documentation and communicates changes to all affected parties
  • Assists with workflow optimization; evaluates scheduling workflows to identify opportunities for optimization and efficiency
  • Assists with updating and maintenance of APEX
  • Performs administrative duties, and responds to inbound calls when required
  • Creates reports to effectively report results to the leadership team
  • Ensures effective and prompt communication with customers when service expectations cannot be met
