About The Position

The Scheduling Coordinator supports department leadership with daily functions of the Cardiopulmonary Rehab Services. Scheduling evaluations for cardiac and pulmonary rehab. Ensuring qualifying documentation is attained before booking. Preparing patient charts for the following day. Printing of the daily roster. Calling physician’s offices for missing orders, EKG’s, Echo, Operative reports and PFT’s (as applicable). Assist the insurance verification team with making sure rehab services are covered and determining how many sessions the patient is approved for. Epic – indexing paperwork sent by the physician’s office – physician order, echo, EKG, history and physical, progress notes, demographics, stress test, PFT’s. Calling patients and reminding them of their evaluation one day prior to scheduled appointment. Keeps inventory of supplies and ordering supplies as needed for cardiopulmonary rehab. Assisting the manager with office duties such as laminating, copying, filing, etc. Creates folders for each new employee to be kept in the executive director’s office. Supports the executive director with any administrative duties as needed. Performs other duties as assigned.

Requirements

  • High school graduate or equivalent is required
  • BLS certification through the American Heart Association for Healthcare Providers
  • A minimum of 1 year of experience in customer relations, scheduling, and/or office management
  • A minimum of 1 year of experience in insurance verification and authorizations
  • Knowledge of computer scheduling programs/software, and general computer skills
  • Must be able to multi-task job responsibilities and function with minimal supervision
  • Requires sitting for long periods of time, also stooping, bending, standing, and stretching
  • Must have manual dexterity for typing and computer data entry
  • Able to work under a stressful environment, work independently, capable of making sound decisions, be detail oriented, alert, and self-motivated
  • Ability to push/pull up to 40lbs., carry and lift up to 20lbs
  • Annual Joint Commission mandatory education requirements, in-service and health requirements including attendance at new employee orientation TB/PPD Surveillance Program
  • Maintenance of required professional licensing and/or certification(s)

Nice To Haves

  • Background in dealing with clients/patients is preferred
  • Experience working in a hospital setting with busy phones is preferred
