About The Position

This Scheduler position at the Dean McGee Eye Institute - Oklahoma Health Center involves scheduling patient testing, procedures, and admissions. Key responsibilities include obtaining pre-certification/authorization numbers and accurately entering them into the scheduling or registration system, as well as gathering and inputting precise insurance information. The role also requires answering incoming phone calls in a timely and professional manner. The scheduler will manage all patient scheduling for ancillary, surgical, and medical testing/procedures/admissions using the Meditech scheduling module. They are responsible for selecting correct insurance carrier plans, informing patients or physician office staff about out-of-network carriers or potential benefit reductions, and communicating testing requirements. The role ensures consistency between scheduling and admissions modules, maintains readiness for Meditech downtime, and collaborates with physician office staff for pre-cert/authorization numbers. Additionally, the scheduler must consistently select the correct patient medical record number, communicate with registration staff regarding unscheduled patients, utilize appropriate communication tools with other departments, edit medical accounts to a PRE status, and manage physician orders. Continuous professional development is expected through attending in-service presentations and completing mandatory education.

Requirements

  • High school diploma or GED.
  • Ability to communicate clearly and concisely, verbally and in writing.
  • Ability to establish and maintain long-term customer relationships, building trust and respect by consistently meeting and exceeding expectations.
  • Ability to work effectively with other employees, patients and external parties.
  • Proficiency in PC applications as required.
  • Knowledge and understanding of organizational policies, procedures and systems.
  • Ability to perform basic mathematical calculations, balance and reconcile figures, punctuate properly, spell correctly and transcribe accurately.

Responsibilities

  • Answer telephone in a timely and professional manner.
  • Schedules all patients for ancillary, surgical, and medical testing/procedures/admissions through the Meditech scheduling module.
  • Select accurate insurance carrier plans and informs the patient or physician office staff of any carrier that is out of network or of any carrier that may result in a decrease on benefits.
  • Inform the physician office staff or patient of any testing requirements according to the instructions and queries in the scheduling module.
  • Ensure that any edits performed in the scheduling module are also duplicated in the admissions module.
  • Maintain knowledge of the scheduling reports for the next day to ensure department readiness in the event of any unscheduled Meditech down-time.
  • Work closely with the physician office staff to ensure that pre-cert/authorization numbers are entered in the scheduling or registration system.
  • Select the correct patient medical record number consistently.
  • Maintain open communication with the registration staff regarding those unscheduled patients presenting for services to ensure appropriate testing is performed and times are available.
  • Utilize appropriate method/tool to communicate with Patient Access and other facility departments, as necessary.
  • Edit medical accounts to a PRE status per facility or SSC standards and guidelines.
  • Receive, maintain, and index physician orders per facility and SSC standards and guidelines.
  • Attends in-service presentations and completes mandatory education week.
  • Performs other duties as assigned.
