Requirements

  • Previous scheduling, administrative, or office coordination experience required
  • Strong conflict resolution and de-escalation skills
  • Excellent verbal and written communication skills
  • Exceptional time management and organizational abilities
  • Ability to multitask and adapt in a fast-paced environment
  • Proficiency with office software (Microsoft Office, scheduling systems, etc.)
  • Team-oriented mindset with the ability to work independently when needed

Responsibilities

  • Coordinate and manage schedules for both clients and caregivers
  • Handle day-to-day scheduling changes such as call-offs, shift adjustments, and coverage needs
  • Manage larger scheduling matters including PTO requests and long-term schedule planning
  • Process and manage caregiver payroll, ensuring accuracy and timeliness
  • Track and administer PTO requests and balances
  • Assist with budget oversight, including monitoring hours, overtime, and scheduling efficiency
  • Partner closely with Case Managers to ensure all client shifts are fully staffed
  • Monitor caregiver hours to support schedule consistency and goals
  • Communicate clearly and professionally with caregivers and clients regarding schedule updates
  • Troubleshoot scheduling conflicts and find timely, effective solutions
  • Maintain accurate scheduling records within office software systems
