About The Position

As a Sample Management Associate, you will play a critical role in ensuring the accurate receipt, tracking, storage, and lifecycle management of biological samples, reagents, and laboratory materials. This position is ideal for someone who thrives in a regulated laboratory environment, values precision, and enjoys being a trusted operational partner to scientific teams. You will work hands-on with Watson LIMS, collaborate closely with laboratory and operations teams, and help maintain inspection-ready compliance in a fast-paced, high-quality research setting.

Requirements

  • Associate's or Bachelor's degree preferred, but not required
  • 2+ years of experience in laboratory sample, reagent, or materials management preferred
  • Hands-on experience with LIMS systems (Watson LIMS strongly preferred)
  • Strong proficiency in Microsoft Excel, including formulas such as XLOOKUP, CONCAT, and data validation
  • Experience working in regulated environments (GLP/GMP) preferred
  • Familiarity with handling biological and chemical samples
  • Highly detail-oriented with strong organizational and documentation skills
  • Ability to prioritize tasks, meet deadlines, and maintain accuracy in a fast-paced environment
  • Strong written and verbal communication skills
  • Commitment to safety, quality, and compliance
  • Ability to lift and move materials up to 50 pounds

Responsibilities

  • Receive, inspect, and verify incoming shipments of laboratory supplies, chemicals, reagents, and study samples
  • Log, track, and manage samples using Watson LIMS and Excel-based workflows
  • Prepare sample manifests and maintain accurate records of sample location, storage conditions, transfers, and disposition
  • Coordinate internal handling of biological samples including receipt, storage, inventory control, transfer, return, and destruction
  • Obtain, review, and maintain Certificates of Analysis (CoAs) and Safety Data Sheets (SDS)
  • Ensure all samples and containers are clearly labeled, properly stored, and compliant with cGxP requirements
  • Monitor storage conditions, document excursions, and support corrective actions as needed
  • Maintain the Receiving/Sample Management area in an inspection-ready state at all times
  • Monitor inventory levels and order supplies to support ongoing laboratory operations
  • Author, review, and update SOPs related to sample and reagent management
  • Perform all work in compliance with GCP, GLP, GMP, internal SOPs, and sponsor requirements
  • Support additional operational needs as assigned
