About The Position

The Sample & Engineering Change Coordinator is a pivotal role responsible for orchestrating the timely and accurate implementation of both internal/external sample orders and engineering changes within the production facility. This position ensures seamless coordination across various plant value streams and functions (Engineering, Sales, Purchasing, Logistics, Manufacturing, Quality, etc.) to meet customer requirements and internal objectives, guaranteeing on-time delivery of high-quality products. The coordinator acts as a central point for communication and process management for all change implementation activities and sample build requests.

Requirements

  • Two-year degree (Associate's or equivalent) or equivalent experience in similar role; Bachelor's degree in a technical or business field preferred.
  • 3-5 years of related experience and/or training in production planning, prototype planning, logistics, or assembly operations.
  • Project Management experience/skillset is highly desirable.
  • Experience in Engineering Change Management (ECM) processes and tools
  • Strong understanding of manufacturing processes and value streams.
  • Familiarity with automotive industry standards (e.g., PPAP).
  • Proficiency in interpreting engineering documentation and bills of material.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
  • Basic+ skills in ERP systems (e.g., SAP, POE).
  • Ability to learn and adapt to new software packages quickly (e.g. Windchill, ECMFuture, PDM systems).
  • Strong analytical and problem-solving skills to manage complex issues and make independent decisions.
  • Ability to work under direct supervision and follow standard procedures and written instructions.
  • Capable of managing multiple priorities and projects simultaneously.
  • Excellent written and verbal communication skills.
  • Ability to communicate effectively with diverse internal and external stakeholders (customers, suppliers, engineering, production, sales, purchasing).

  • Ability to work in an office environment with time spent on the shop floor (up to 50%).

Responsibilities

  • Project and Process Coordination: Lead and coordinate all activities related to the implementation of engineering changes (including SW/HW, mechanical, customer MY, RPP, and MFG strategy relocations) and the processing of internal/external sample orders (pre-series, prototypes, change management samples). This includes defining processes based on design levels (K30/K40) and ensuring accurate execution from planning through validation and delivery.
  • Stakeholder Collaboration: Act as the primary liaison and coordinator across the plant's value stream, fostering strong collaboration with customer teams (Engineering, Sales, Purchasing), and internal functions (Logistics, Manufacturing Engineering, Manufacturing Operations, Quality Management). Facilitate communication and ensure alignment for all change and sample requests.
  • Material and Inventory Management: Coordinate material availability and timing for both sample orders and engineering change requirements. Manage inventory of pre-series components, sub-assemblies, and finished goods, ensuring proper staging and control. Request and track material pulls for special builds.
  • Logistics and Shipment Oversight: Oversee all logistical aspects, including coordination of picking, packaging, and labeling of parts for shipment (both standard and international). Manage systemic (POE) and physical material movements to the shipment area and provide tracking information to customers/requesters. Ensure proper packaging to prevent damage during transit.
  • Planning and Schedule Management: Develop and manage detailed plans for the execution of engineering changes and sample order fulfillment. Coordinate special builds (e.g., PV/PTRs, trial runs) and manage the SoP (Start of Production), phase-in/phase-out activities, and PPAP submissions related to changes.
  • Performance Monitoring & Improvement: Track and maintain scorecards on delivery performance and key performance indicators (KPIs) for both engineering change implementation and sample order fulfillment. Proactively identify and address coordination gaps, implement continuous improvement initiatives, and ensure adherence to commitments.
  • Risk Management & Escalation: Monitor projects for deviations, risks, or challenges that could impact commitments and deliverables. Promptly escalate critical issues to the PPL team, Prototype Team, Customer Team, or Senior Manager as necessary.
  • System and Documentation Management: Act as the process owner for the Intercompany Sample Ordering Process and support the rollout and coordination of Engineering Change Management (ECM) systems and processes within the plant.
