About The Position

Impact Sand and Gravel is now looking to add an energetic Sales Team Administrator to our team! We are looking for a Sales Team Administrator to keep our sales and dispatch operations running smoothly behind the scenes. This role is ideal for someone who enjoys a fast pace, juggling details, and supporting a team.

Requirements

  • 2+ years of experience in administrative, sales support, dispatcher support, or customer service role (construction, trucking, aggregates, ready-mix, or related industry experience a plus)
  • Strong data entry accuracy and attention to detail; comfortable working with order forms, tickets, invoices, and spreadsheets.
  • Proficient with basic computer tools (email, calendar, Excel/Google Sheets, and basic CRM or order-entry systems).
  • Clear, professional communication skills on the phone and over email; able to work with contractors, drivers, and internal teams.
  • Ability to manage multiple priorities in a busy office environment and stay calm under time pressure (e.g., when jobs change same day).

Nice To Haves

  • Familiarity with basic construction materials (base, sand, gravel, rip rap, etc.) and trucking terminology is preferred but not required; we will train the right person.

Responsibilities

  • Serve as the main internal support for the sales team: answer calls and emails, route inquiries, and provide order status updates to customers and sales reps.
  • Enter and process quotes, sales orders, and change requests in the system, ensuring product, quarry, trucking, pricing, and tax details are accurate.
  • Help coordinate deliveries with dispatch: confirm jobsite details, delivery windows, special instructions, and trucking needs; flag issues or conflicts early.
  • Maintain and update customer and job records, including contacts, pricing agreements, tax-exempt forms, and project notes.
  • Prepare daily, weekly, and monthly reports for the sales manager (tons sold by quarry, brokered material, truck activity, open quotes, backlog, and win/loss).
  • Track sales team calendars: schedule customer meetings, plant/quarry tours, bid deadlines, and internal sales meetings.
  • Assist with bid packages: gather pricing, pull past job history, format proposals, and submit documents on time for public and private bids.
  • Support invoicing and A/R follow-up by making sure orders, tickets, and delivery information are clean and complete before billing.
  • Keep shared files and templates organized (price sheets, quote templates, customer lists, fuel/trucking surcharges, etc.).
  • Perform general office and admin tasks for the sales/dispatch office such as filing, ordering supplies, scanning tickets, and helping set up sales meetings
