About The Position

The Sales Systems Administrator is a dual-impact role responsible for the seamless movement of recruits through the sales pipeline and the logistical management of housing for sales teams nationwide. This individual ensures data integrity within our recruitment systems while simultaneously managing cost-effective housing options. The ideal candidate is a proactive problem-solver who can navigate the technical complexities of a CRM while managing the real-world logistics of team travel and budget auditing. This role requires high accountability, attention to detail, and the flexibility to support the sales organization during peak seasons.

Requirements

  • Systems Proficiency: Proficiency in Salesforce (or other CRM systems similar), HRIS, and communication software.
  • Technical Skills: Proficiency in G Suite and Excel for data management and reporting.
  • Financial Acumen: Proficient in budget management, financial analysis, and folio auditing.
  • Logistical Experience: Proven experience in housing coordination, travel management, or a similar logistics role.
  • Soft Skills: Strong organizational abilities, exceptional attention to detail, and a customer-focused communication style.
  • Problem Solving: Possesses strong problem-solving abilities and a proactive willingness to take initiative when navigating complex logistical or systemic challenges.
  • Adaptability: Ability to thrive in a fast-paced environment, manage multiple tasks efficiently, and navigate moments of ambiguity.
  • Availability: Willingness to extra hours during peak seasons or additional events.

Responsibilities

  • Pipeline Oversight: Manage the end-to-end recruitment pipeline, proactively identifying and addressing bottlenecks to ensure efficient candidate movement.
  • Data Quality Management: Maintain data integrity and hygiene in CRM (Salesforce), HRIS, and communication systems to ensure accurate records for all sales representatives.
  • Onboarding Support: Track recruit progress through onboarding in the CRM and HRIS, assisting with the completion of all checkpoints and tasks.
  • Interdepartmental Coordination: Collect and transfer necessary recruit information to ensure smooth handoffs to Operations and other departments.
  • Event Coordination: Plan and execute lead generation events and programs initiated by Sales Managers to drive the recruitment pipeline.
  • Rooming List Management: Coordinate with sales teams to develop and maintain accurate rooming lists, ensuring all accommodations meet specific requirements.
  • Budget & Folio Management: Manage and optimize housing budgets while auditing folios and direct bills to ensure accuracy and resolve discrepancies promptly.
  • Quality Assurance: Perform periodic inspections or quality checks to ensure accommodations meet established standards and fulfill team needs.
  • Recordkeeping & Reporting: Keep meticulous records of stay lengths and housing expenses; generate reports on utilization rates and cost-saving measures.
