Position Overview We are seeking a highly organized, motivated, and detail-oriented Sales Support Specialist to join our team. This role serves as the first point of contact for our sales team, vendors, and staff while providing vital administrative support to ensure efficient office operations.

Requirements

  • High school diploma or equivalent; a bachelor's degree preferred.
  • 3+ years of experience in a receptionist, administrative, or customer service role (equivalent degree is acceptable)
  • Professional demeanor and positive attitude
  • High attention to detail
  • Self-starter with social tact and problem-solving skills
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook, Teams, and PowerPoint)
  • Proficient in Adobe Acrobat and Reader
  • Ability to handle sensitive information with discretion
  • Ability to work in a high-paced environment, juggling multiple tasks at once
  • Ability to write and edit professional correspondence, reports, or other business communications
  • Organizational and multitasking skills, as demonstrated by managing calendars, scheduling meetings
  • Experience with and proficiency in sourcing vendors for special projects such as gifting and printing
  • Ability to pass DHS background study
  • Pushing/Pulling and Lifting/carrying up to 40 pounds.

Nice To Haves

  • Experience and proficiency in Canva (preferred)
  • Experience and proficiency in Microsoft Clipchamp (preferred)
  • Willingness to learn and create new processes to better the organizational flow and maximize efficiency

Responsibilities

  • Provide comprehensive administrative assistance such as but not limited to data entry and reconciliation, data analysis, maintenance of data archives and templates, coordination of appointments and meetings, reconciliation of expenses, management of calendars for various leaders, and note-taking and distribution
  • Maintain training, onboarding, and event supplies; coordinate service requests and order materials as needed
  • Prepare and ship outgoing correspondence and packages (USPS, UPS, FEDEX)
  • Support internal events and meetings by preparing venue and materials before and after, coordinating logistics, ordering supplies, and securing any needed catering
  • Provide support for special administrative projects and tasks as needed
  • Performs other duties as assigned
