About The Position

The Sales Support Manager is responsible for leading, developing, and managing a team of Outside Sales Support Representatives who provide administrative, quoting, order entry, and customer support to Outside Sales. This role combines hands-on leadership, workflow oversight, and talent development, with a strong focus on service quality, efficiency, and sales enablement. In addition to core sales support leadership, this role is responsible for developing team capability in basic estimating skills, including blueprint reading, takeoffs, pricing fundamentals, and proposal preparation, creating a pipeline of future estimating talent and improving sales responsiveness on small to mid-sized opportunities. $80k-$90k annually DOE. ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned. Management duties include oversight and accountability for employees performing the following functions. Sales Support Leadership & Operations Lead and manage a team of Outside Sales Support Representatives to ensure timely, accurate, and consistent support for Outside Sales. Distribute workloads, prioritize requests, and balance team capacity to meet sales and customer deadlines. Ensure accurate and timely processing of price quotations, purchase orders, order changes, adjustments, and cancellations. Oversee order entry accuracy, correct system coding, and follow-through on delivery coordination and customer communication. Monitor service levels, turnaround times, and customer satisfaction, addressing gaps proactively. Act as escalation point for complex sales support, order, or customer issues. Collaborate closely with Outside Sales, Inside Sales, Estimating, Purchasing, and Operations to support sales execution. Collaborate with Outside Sales, Inside Sales, Estimating, Purchasing, and Operations to gather any feedback and needs to help improve the overall customer experience. Estimating Skills Development & Sales Enablement Develop and coach team members in basic estimating competencies, including: Reading and understanding mechanical Performing basic takeoffs for HVAC-related Assisting with small project proposals and pricing Understanding product selection fundamentals and vendor coordination. Partner with the Estimating team to align standards, tools, and training expectations. Identify high-potential team members and support development paths into estimating or advanced sales support roles. Ensure estimating-related support meets accuracy, margin, and quality expectations. People Leadership & Talent Development Train, coach, and evaluate direct reports on job performance, product knowledge, customer service, and system usage. Conduct regular feedback, performance reviews, and development planning. Interview, hire, onboard, and, when necessary, discipline or terminate employees in accordance with company policy. Approve timecards, schedules, vacation, and time off requests to ensure adequate coverage. Foster a culture of accountability, continuous improvement, teamwork, and customer focus. Reporting, Compliance & Process Improvement Create and review operational reports related to sales support activity, accuracy, responsiveness, and productivity. Ensure compliance with company policies related to system security, inventory control, ethics, and safety. Identify process gaps and implement improvements to increase efficiency, profitability, and service quality. Support adoption of new tools, systems, and best practices within the team. Prior experience in sales support, inside sales, estimating, or related roles required. The ability to learn and teach estimating fundamentals is essential. Estimating experience preferred but not required. Previous leadership or supervisory experience High School diploma or GED required. Experience with MS Office, including Word, Excel, and Outlook. Qualified applicants must be customer-oriented and motivated with excellent verbal communication skills and strong phone skills. Ability to analyze customer needs and to recommend the proper course of action. Ability to organize and prioritize assigned tasks, job projects and deadlines. Must possess ability to keep abreast of product applications and technology trends. Ability to pass background check and drug screen. LANGUAGE SKILLS: Ability to effectively communicate with customers and staff to make an accurate assessment of customer needs. MATHEMATICAL SKILLS: Ability to perform basic mathematical calculations required to accurately complete assigned tasks. COMPUTER SKILLS: Excellent computer skills including Microsoft Office. REASONING ABILITY : Ability to interpret a variety of instructions furnished in oral or written form. Ability to use sound judgment and problem-solving skills.
