The Sales Support Associate will be responsible for supporting account managers and customers through accurate order processing, account setup, issue resolution, and coordination with internal teams and vendors to ensure smooth order fulfillment and customer satisfaction..

Requirements

  • Proficiency in Prelude, AQ, and Microsoft Office (or equivalent tools)
  • Customer-focused mindset with problem-solving capabilities
  • Ability to manage multiple priorities in a fast-paced environment

Responsibilities

  • Accurately enter and manage customer orders in Prelude.
  • Track, secure, and update purchase orders with buyers.
  • Expedite urgent orders and proactively follow up on pending or delayed shipments.
  • Coordinate with the warehouse on shipment preparation and communicate delivery details (BOLs, pick tickets, invoices, pallet photos, etc.).
  • Resolve inventory issues such as backorders or missing items.
  • Create, update, and maintain customer ship-to information.
  • Facilitate new account onboarding, including credit applications and required documentation.
  • Request invoices and payment information to ensure accounts remain in good standing.
  • Answer customer calls and emails promptly, providing accurate information and issue resolution.
  • Enter and manage customer quotes in AQ and verify pricing accuracy.
  • Coordinate special net pricing requests with vendors and buyers.
  • Research and recommend products in collaboration with vendor reps and tabletop specialists.
  • Lead customer calls to present product recommendations and review quotes.
  • Manage stocking agreements, including customized product items.
  • Submit and track credit requests for damaged or returned products.
  • Manage the return process for smallwares, tabletop, and equipment: Obtain RAs, process Cognito forms, coordinate pickups, and follow up for credit resolution.
  • Submit and track warranty service requests, ensuring technicians are dispatched and issues resolved quickly.
  • Work closely with buyers, vendors, warehouse, transportation, and credit teams.
  • Obtain freight quotes and help resolve issues with delayed or missing deliveries.
  • Actively participate in team and company meetings (virtual and in-person).
  • Support the Account Manager with assigned projects and tasks.
  • Manage product sample requests and coordinate expedited delivery when needed.
