About The Position

The Sales Support Specialist plays a critical role in ensuring operational excellence and superior client experience. This position bridges the gap between Sales and Operations by coordinating the administrative, logistical, and communication elements required to successfully transition projects from sale to execution. As a key contributor to both front-end sales efforts and back-end project readiness, the Sales Support Specialist helps drive accuracy, efficiency, and speed throughout the customer lifecycle. This is a high-impact, detail-oriented role that requires excellent communication, organizational strength, and a collaborative mindset.

Requirements

  • Bachelor's degree or equivalent experience required.
  • Minimum of 2 years of experience in customer service or outside sales experience required
  • Strong people and rapport building skills with a positive and personable demeanor.
  • Demonstrated collaboration, negotiation, and persuasion skills.
  • Superior listening skills and creative problem resolution skills.
  • Effective oral and written communication skills.
  • Excellent organization and time manageent skills.
  • Ability to adapt to flexible, dynamic situations.
  • Solid computer skills with an in-depth knowledge of MS Office software (Word, Excel, PowerPoint) and working knowledge of web-based CRM systems.
  • Minimal travel required (5%).
  • Valid driver’s license and personal vehicle to travel to client locations.
  • Ability to lift approximately 15-20 lbs.
  • AV HQ based position.
  • Ability to work independently.

  • Prior experience in accounts management preferred, but not required.

Responsibilities

  • Serve as an internal liaison between the Sales team and other organizational departments.
  • Assist the Sales team with administrative support assisting with order entry and art approvals.
  • Collection and validation of all necessary project intake information (vehicle counts, types, photos, VINs, locations, measurements, POCs)
  • Monitors Print & Ship revenue to ensure accurate forecasting by ensuring that the orders are printed in the projected month or moving the money to the next month forecast in collaboration with the AE/AM.
  • Prompt response to internal teams via Tasks in NetSuite.
  • Ensure order expectations are clearly documented for the Design and Project Management teams.
  • Enter project data into internal systems with 100% accuracy and completeness.
  • Provide regular reporting to the Director of Operations on project intake status and operational bottlenecks.
  • Assist with maintaining subcontractor records, COIs and W9s.
  • Help prepare weekly internal huddles with status reports and key insights.
  • Support issue resolution by quickly escalating concerns or delays to appropriate internal teams.
  • Coordinate client proofs and approvals.
  • Ensure all client-facing documents are polished, accurate, timely and aligned with the brand.
  • Occasional front desk support and vehicle check-in and pickup.
  • Other Duties as assigned.
