Requirements

  • 1–3 years of related work experience; experience in the fragrance industry preferred.
  • Strong organizational skills with the ability to manage tight timelines, shifting priorities, and multiple concurrent projects.
  • Strong computer skills, including Microsoft Office (Excel, PowerPoint, Word) and SAP.
  • Excellent interpersonal and communication skills with the ability to collaborate effectively with internal teams and external clients.
  • Demonstrated ability to prioritize, multitask, and manage pressure to meet deadlines.
  • Self‑starter with a proactive mindset and willingness to take ownership of tasks and projects.
  • High energy, positive attitude, strong team spirit, and customer‑focused approach.
  • Strong problem‑solving skills and the ability to quickly learn new tools, tasks, and systems.

Responsibilities

  • Coordinate multiple client fragrance development projects by liaising with internal teams (perfumery, labs, marketing, production, customer service, scent design) and ensuring all project details and timelines are followed.
  • Manage daily shipping coordination, including preparation and printing of sample labels and shipping documentation as the on‑site point person.
  • Schedule, organize and prepare client meetings, ensuring all submission materials and support documents are ready; capture detailed recap notes and follow-up actions.
  • Provide best‑in-class customer support, handling pricing, oils, documentation, sample needs, and project administration across the full development cycle in SAP and other internal systems.
  • Maintain ownership of master data files and ensure data integrity across SAP, Business Warehouse, price lists, oil references, and sales reporting tools.
  • Issue safety documentation and coordinate regulatory or customer reworks to maintain compliance of active portfolios.
  • Organize and track stability testing for products, ensuring accurate monitoring and reporting of results.
  • Manage additional responsibilities and support tasks as business needs evolve.
