About The Position

The Sales Pricing & Contracts Administrator supports the Sales team by maintaining customer pricing, cost sheets, purchase order confirmations, and contract documentation. This role plays an important part in keeping sales operations running smoothly by ensuring pricing data and contracts are accurate, complete, and properly documented. This is a non-exempt, hourly role focused on execution and administrative support. It’s a great opportunity for someone who’s interested in starting a career in Sales on the administrative side and wants hands-on exposure to how pricing, contracts, and sales operations work behind the scenes. You’ll work closely with Sales, Finance, and Operations, gain real-world experience with pricing and margin basics, and build a strong foundation for growth as the business evolves. As the company grows and systems improve, this role may expand to include additional responsibilities, offering ongoing opportunities to learn, develop new skills, and grow within the Sales organization.

Requirements

  • 1–3 years of experience in sales administration, pricing administration, contracts support, or similar role.
  • Experience maintaining pricing data, cost sheets, or customer documentation preferred.
  • Experience supporting sales or order processing functions a plus.
  • Strong basic math skills, including margin and cost calculations.
  • Proficiency in Microsoft Excel (spreadsheets, formulas, lookups).
  • Proficiency in Microsoft Office (Outlook, Word).
  • High attention to detail and accuracy.
  • Strong organizational and time-management skills.
  • Ability to follow defined processes, approvals, and direction.

Nice To Haves

  • Experience with ERP or CRM systems preferred.
  • Experience in food manufacturing, distribution, or CPG environments preferred.
  • Bilingual (English/Spanish) a plus.

Responsibilities

  • Maintain and update customer price lists based on approved pricing information.
  • Maintain customer cost sheets and perform basic margin and cost calculations to verify accuracy.
  • Review margins within contracts for accuracy and completeness; flag discrepancies for review.
  • Ensure pricing data aligns with approved contracts, pricing approvals, and documentation.
  • Ensure customer contracts, pricing agreements, and amendments are properly attached, filed, and maintained.
  • Track contract versions, pricing changes, and expiration dates.
  • Confirm pricing and contract documentation is complete and available prior to order processing.
  • Maintain organized, accurate, and audit-ready pricing and contract records.
  • Review and confirm customer purchase orders against approved pricing and contract terms.
  • Identify pricing, margin, or documentation discrepancies and escalate for review.
  • Support Sales with PO-related confirmations, corrections, and documentation requests.
  • Work cross-functionally with Sales, Finance, Operations, and Customer Service to support pricing accuracy and order execution.
  • Respond to routine inquiries related to pricing setup, cost sheets, and contract documentation.
  • Escalate non-standard requests or issues to the Manager, Contracts & Pricing.
  • Enter and maintain pricing and contract data in ERP and related systems.
  • Support basic reporting, data pulls, and documentation requests as assigned.
  • Follow established templates, workflows, and internal controls.
  • Support additional administrative or pricing-related tasks as the role evolves.
