About The Position

The Sales Operations & Ordering Manager is responsible for coordinating distributor orders, verifying inventory, executing shipments, and maintaining ongoing communication with wholesale partners. This role sits at the intersection of Sales, Production, and Warehouse operations and ensures that orders placed can be accurately fulfilled based on real, physical inventory. The role is highly operational and requires regular presence on the production floor and in the warehouse to verify inventory, respond to production changes, and prevent fulfillment issues before they occur. While the role includes light forecasting and planning support, it is not a commercial analytics position.

Requirements

  • Bachelor's degree in Business, Supply Chain, Operations, or equivalent experience.
  • 2–4 years of experience in ordering, customer service, logistics, inventory management, or operations.
  • Strong customer service and communication skills, comfortable with interacting directly with wholesalers.
  • Strong working knowledge of Excel; ability to build and manage basic tracking tools.
  • Comfort working in a production and warehouse environment.

Nice To Haves

  • Experience in beverage alcohol, manufacturing, or distribution is a plus.
  • ERP, ordering portal, or route accounting experience is a plus.
  • Experience with ERP, inventory systems, or route accounting tools is a plus.

Responsibilities

  • Manage the full-cycle ordering process for distributor customers through the ordering portal.
  • Proactively contact wholesalers to prompt order placement, review inventory positions, and recommend order quantities.
  • Collect and manage pre-orders for seasonal and limited-release products.
  • Coordinate shipment timing with Production and Logistics, including adjusting orders as production schedules change.
  • Communicate with wholesalers before shipment and after shipment, including Bills of Lading (BOLs) and invoice coordination.
  • Support full-truck optimization by identifying opportunities to consolidate shipments or upsell additional pallets where appropriate.
  • Verify finished goods inventory prior to shipment by physically confirming product availability in the warehouse.
  • Identify and resolve discrepancies between system inventory and actual warehouse inventory before trucks arrive.
  • Support and participate in inventory counting and cycle count processes.
  • Escalate inventory risks, shortages, or mis-ship issues early to Sales and Production.
  • Attend daily production meetings to stay aligned on production status, packaging changes, and constraints.
  • Participate in weekly planning meetings and support the preparation of ship sheets or meeting materials.
  • Serve as a liaison between Sales and Production to ensure customer commitments align with operational reality.
  • Maintain a rolling 12-month forecast for key brands to support production planning.
  • Provide order-based and operational input into forecasts.
  • Support planning discussions with practical, execution-focused insights.
  • Identify gaps or inefficiencies in ordering, inventory verification, POS handling, or shipment execution.
  • Partner with Warehouse and Production to improve accuracy, communication, and handoffs.
  • Support special projects related to ordering, inventory, or logistics as assigned.
