About The Position

We are seeking a detail-oriented Sales Operations/Invoicing Coordinator to work closely with our Sales team, engineers, and customers. This role provides critical financial and administrative support to a group of sales account managers and their customer base, with a primary focus on invoicing accuracy, purchase order processing, and payment tracking. The ideal candidate is comfortable working cross-functionally, enjoys problem-solving, and has experience supporting sales teams through invoicing, pricing verification, and customer communication.

Requirements

  • 1+ year of recent experience in sales administration, invoicing, or a related role
  • Strong experience with invoicing, purchase orders, and Excel
  • Associate’s Degree required
  • High attention to detail and strong organizational skills
  • Ability to work effectively with multiple internal teams and external customers

Responsibilities

  • Create, review, and verify customer invoices to ensure accuracy in pricing, quantities, and terms
  • Follow up on invoices to obtain complete financial data and confirm payment details
  • Create and manage customer purchase orders (POs)
  • Access customer portals to verify pricing, invoice details, and supporting documentation
  • Support Sales team members and engineers by entering pricing and payment information into internal systems
  • Use SAP to research pricing questions, review billing details, and validate transactions
  • Perform consistent three-way matching between Sales Orders, Bills of Lading (BOL), and SAP data
  • Track customer payments, monitor outstanding balances, and report discrepancies
  • Communicate with customers via email and phone regarding invoicing, pricing, and quantity issues
  • Collaborate internally with Sales and Engineering teams to resolve billing and invoice discrepancies
  • Maintain accurate documentation and ensure compliance with internal processes
