The Sales Operations Coordinator is a full-time role designed to enable the Sporting Goods business unit to operate more efficiently within Huish Outdoors with fewer external department dependencies. This position consolidates three critical functions into a single accountable role: Sales Operations, Product Coordination, and Amazon Account Management (for both the Sporting Goods and Dive business units). This role is responsible for the end-to-end product lifecycle - from initial concept development through customer sales execution - while simultaneously managing day-to-day order operations and maintaining Huish Outdoors' Amazon marketplace presence. The ideal candidate is an organized, detail-oriented self-starter who thrives in a cross-functional environment and can prioritize across multiple active work streams.

Requirements

  • Experience with Customer specific platforms (i.e. Costco BPM and IRI, Canadian Tire Vendor Gateway, Walmart Retail Link) helpful

Responsibilities

  • Sporting Goods Calendar: Track and report progress against deadlines during weekly meetings, including status of product development, costing, sample preparation, sales presentations, and customer commitments.
  • Customer Management (specifics vary by Customer)
  • Monthly review of sell-through, inventory, and incoming shipments by region.
  • Primary POC with Costco ICS (Inventory Control Specialist) - enter POs and check flow/delivery dates.
  • Costco BPM Manager: item agreement creation/modification, product spec documents, confirming NLC loading/container specs, and general data entry.
  • Coordinate with Costco Imports team for testing requirements, packaging requests, and sample coordination for ROW buyers.
  • Customer Marketing & Promotions: coordinate fence, end cap, and coupon programs; obtain BM and Accounting approvals; align with supply chain on space planning.
  • Markdowns & End-of-Season Clean-Up: Manage seasonal inventory closeout activities, approvals, and supply chain coordination for leftover stock.
  • Order Entry & Processing: Timely and accurate entry of purchase orders from phone, email, or ERP interfaces. Serve as primary POC for retail partners and internal supply chain teams on order status and delivery confirmation.
  • Returns & Warranty Processing: Assess and process returns and warranty claims in accordance with company procedures and policies.
  • Product Pipeline Management: Maintain and track the product development calendar across all sporting goods categories (snorkeling, swim goggles, bags, and seasonal products). Monitor progress from concept through production launch.
  • Vendor Coordination: Serve as primary point of contact with manufacturing partners for product development activities. Coordinate sample requests, component and finished goods costing, and timeline management.
  • Sample Management: Coordinate all finished goods sample flows including pre-production, sales, and photoshoot samples. Track sample inventory and distribute to appropriate stakeholders.
  • Product Specification Development: Work with Brand Managers, the Sporting Goods Director, and the Product Development team to develop and maintain detailed product spec sheets including materials, dimensions, packaging requirements, and quality standards.
  • Costing & Pricing Support: Collaborate with vendors, Brand Managers, and Sporting Goods Director to develop product costing. Support pricing strategy development and maintain cost databases for ongoing reference.
  • Product Launch Preparation: Coordinate cross-functional launch activities including photography, marketing asset creation, ERP item setup, packaging approvals, and sales training materials.
  • ERP Item Setup & Price Lists: Work with Sporting Goods Director, Brand Managers, and IT to create new items in the Huish ERP (NetSuite) and update annual price lists, including all available products and variants.
  • Seller Central Account Management: Manage Amazon Seller Central accounts for both the Sporting Goods (as primary POC for external Amazon agency) and Dive business units, connecting fulfillments with NetSuite processes.
  • Listing Management: Oversee listing updates, content accuracy, and catalog hygiene. Resolve listing flags and submit case escalations to Amazon as needed.
  • Account Performance Reporting: Produce regular reporting including top SKU reports, biggest movers, products under update, and YTD/monthly sales summaries.
  • Platform Strategy Engagement: Engage with internal teams on product strategies as they pertain to Amazon and other 3rd-party platforms. Identify optimization opportunities for content, pricing, and promotional activity.
  • Technical Issue Resolution: Troubleshoot and resolve account-level issues including suppressed listings, fulfillment discrepancies, and customer-facing product issues.
  • Coordination with Cross-Functional Support
  • Quality: Schedule audits and testing coordination as needed.
  • Marketing: Coordinate asset development including packaging, digital assets, and marketing campaign materials.
  • Customer Presentations: Support Sporting Goods Director with preparation of customer-facing presentations (PowerPoint format), sample preparation and labeling, quote sheet development and filing, and coordination of samples for Buyer's Review meetings.
  • Product Development: Support the product development team with product spec sheets for vendors as required.
  • Shipment Documentation: Oversight, management, and correct distribution of domestic, export, and ex-works shipment documentation, including duty/tariff paperwork as required.
  • Other duties as assigned.
