Our Private Dining Coordinator manages all aspects of private events, from initial client inquiries and booking to event execution, acting as the liaison between guests, sales, and kitchen/F&B teams to ensure seamless, high-quality experiences, handling administrative tasks like contracts, BEOs (Banquet Event Orders), and inventory, and ensuring guest satisfaction through proactive communication and problem-solving.

Requirements

  • Previous experience as a fine dining restaurant event coordinator or similar sales role
  • Strong communication (written/verbal) and interpersonal skills.
  • Excellent organizational and multitasking abilities.
  • Proactive, problem-solving, and guest-focused attitude.
  • Comfortable in fast-paced, detail-oriented environments.
  • Hardworking with a positive and upbeat attitude
  • Reliable transportation to and from work
  • Requires flexibility for nights, weekends, and holidays.

Responsibilities

  • Respond to inquiries, book events, manage contracts, maintain client databases, and follow up to secure repeat business.
  • Work with Restaurant Managers and F&B/Culinary teams to plan menus, guest counts, room setups, and logistics.
  • Process deposits, generate reports (daily, financial), manage filing systems, and handle correspondence.
  • Ensure readiness of dining areas, manage inventory of linens/supplies, and assist with setup/breakdown for events.
  • Address complaints, anticipate needs, and ensure a stress-free, exceptional experience for all guests.
  • Run pre-meal meetings, inform staff of event details, and maintain strong relationships with other departments.
