Job Hours: Monday - Friday: 8:00AM - 5:00PM (On-site) POSITION OBJECTIVE: Sales Enablement Administrator/ Conference Coordinator provides operational, administrative, and coordination support to the Sales organization, including Sales Leadership, field sales representatives, and cross-functional partners. This role supports regional and national conferences, internal sales initiatives, training, documentation management, reporting, and communication to ensure consistent execution of sales processes and effective customer engagement.

Requirements

  • Bachelor's degree in early childhood education, business or communications, preferred.
  • 2 – 4 years relevant experience in sales support required with event management highly valued.
  • S trong knowledge and proficiency with CRM systems, preferably HubSpot certified with 2-3 years' experience.
  • Excellent written/verbal skills with ability to create materials used for training and communicate with stakeholders.
  • Strong project management and ability to manage multiple projects simultaneously to achieve required timelines.
  • Ability to present effectively, engage, and transfer knowledge to audience preferred.
  • Demonstrated problem solving and critical thinking skills to identify and develop solutions.
  • Proficient with Microsoft 365 products.
  • Strong teaming and organizational skills.
  • Must be agile and able to manage in a fast-paced environment.
  • Will occasionally travel.
  • Must be able to occasionally lift up to 30lbs. and push/pull up to 50lbs.

Responsibilities

  • Sales Operations and Administrative Support Serve as a primary resource for sales representatives and internal teams by answering questions and providing guidance on CRM sales tools and platforms.
  • Work with HubSpot Admin to update/customize records as needed to optimize the platform, ensure data consistency and automation.
  • Use CRM tools to maximize sales productivity/opportunities and customer relationships.
  • Proactively communicate with sales representatives regarding tools, processes, and best practices.
  • Manage ordering and distribution of company-branded and operational supplies, including name tags, business cards, promotional materials, samples and other departmental needs.
  • Track inventory levels, maintain vendor relationships, ensure brand consistency, and monitor budgets to control costs.
  • Maintain Sales pages on Sales Web ensuring the most up to date information is accessible, e.g. who do I call, SPIFF, Conference Content pages, etc.
  • Process and manage monthly financial recodes to ensure expenses are accurately allocated across departments, territories, and budget lines.
  • Partner with accounting to reconcile discrepancies, meet reporting deadlines, and maintain compliance with internal financial procedures.
  • Maintain centralized sales documentation, ensuring accuracy, version control, and accessibility of pricing materials, templates, and standard operating procedures – as example, Sales Directory.
  • Coordinate and distribute internal sales communications to ensure timely, accurate, and consistent information sharing across the Sales organization.
  • Support large-scale sales initiatives and projects as assigned.
  • Monthly Reporting or as needed or requested by leadership.
  • Conference Coordination & Sales Event Support Using HubSpot, coordinate registration and logistics for 400+ regional and national conferences annually, including payments, vendor coordination, supply ordering, and material preparation.
  • Partner with the Marketing team to develop branded swag and promotional giveaways aligned with campaign goals and conference strategies.
  • Research product options, manage vendor quotes, oversee design approvals, and coordinate production timelines to ensure quality and timely delivery as well as monitor budgets to control costs.
  • Partner with outsourced marketing vendors to ensure conference presentations, displays, and materials align with brand and event standards.
  • Communicate with sales representatives in advance of conferences to ensure readiness, guideline compliance, and completion of advertising and outreach planning.
  • Provide attendee lists and approved templates to support pre- and post-conference email outreach; review and provide feedback on drafted communications.
  • Deliver post-conference lead data, including QR scan results, list details, and follow-up instructions; manage automated workflows for high-volume lead lists.
  • Support HubSpot tracking, prize selection, and completion of required conference recap documentation to ensure process compliance.
  • Content Enablement / Templates & Sequences Create and maintain sales templates and sequences aligned to product categories, services, specific initiatives, and marketing campaigns.
  • Upload and manage images, documents, and assets required for templates and sequences.
  • Develop templates and sequences that align with Learning Center articles and educational content.
  • Create and manage pre- and post-ed Webinar outreach templates, sequences, and workflows and contact lists.
  • Build and monitor workflows for large-scale outreach initiatives.
  • Assist with creating targeted contact lists using HubSpot data, Agile, and external research.
  • Training & Onboarding Asist with the implementation and maintenance of structured learning programs for onboarding new team members and coordinate educational content for ongoing sales training on Single Sign On, Zoom Workplace (including phone), HubSpot, Vidyard, Sales Web, OneDrive, ShareFile and other tools.
  • Support the delivery of a 6–8 week onboarding and training plan for new Field, CAPL, and PG sales representatives.
  • Assist with training and provide enablement support for other internal teams, including CAPL, Bids/Contracts, Key Accounts, and CAS, as needed.
  • Support the testing of new platform updates and enhancements and assist in coordinating rollout and training sessions for the sales team and others.
  • Assist in coordinating ongoing meetings with regional sales teams to reinforce tools, processes, and best practices.
  • Support the creation, maintenance, and updating of training documentation, including written guides and video resources.
  • Sales Meeting/Rookie School Planning Support planning and coordination of internal sales meetings, including agenda development, speaker coordination, material preparation, travel arrangements, and on-site logistics.
  • Ensure meetings are organized, aligned with business objectives, and executed professionally to maximize team engagement and productivity while maintaining cost controls.
  • Assist with planning and coordination of Rookie School training programs for new Sales Representatives.
  • Manage scheduling, presenter communication, materials preparation, and onboarding logistics, ensuring cost controls.
  • Ensure new hires receive a comprehensive and engaging introduction to company systems, products, and sales expectations.
  • Cross-Functional Collaboration Work cross-functionally with Marketing, Merchandising, Finance, and other internal teams to support sales initiatives and customer needs.
  • Provide guidance on best practices, processes, and solutions to support sales effectiveness and operational efficiency.
