About The Position

The Sales Coordinator is a key representative for Menus & Venues and Terrain Events, dedicated to upholding the highest service standards. This role focuses on providing friendly, responsive, and seamless service to create an exceptional experience for all potential clients. Working closely with the Sales Manager and Director of Sales and Marketing, this position ensures smooth sales navigation, maximizes venue accessibility for tours, and provides essential administrative support across multiple locations

Requirements

  • Experience: 1-2 years of experience in event planning, sales, coordinating, or comparable experience in hospitality.
  • Schedule: Hourly role at an average of 30-32 hours per week. Availability must include early weekday mornings and required weekend/evening tour availability to meet client demand.
  • Goal: Support the venue being open for tours nearly 7 days a week. Locations for on-site tours include Glen Mills, PA, Devon, PA and Doylestown, PA.
  • Skills: Excellent oral and written communication skills, exemplary customer service skills, and strong work ethic.
  • Character: Personable, professional demeanor, assertive, highly organized, and ability to tackle tasks as they arise.

Responsibilities

  • Venue Ambassador: Act as an informed and professional ambassador for Sales and Operations by mastering all facets of the venue tour process.
  • Site Tours: Conduct comprehensive site tours for potential clients, including scheduled weekend availability (Saturdays/Sundays from 9 am-12 pm) and during planned open-house/tour nights, especially during peak "engagement season."
  • Venue Expertise: Work closely with the Sales Manager to clearly understand the benefits, capacities, and limitations of each venue and room based on seasonality and event type.
  • Inquiry Management Support: Learn the basics of all inquiry management and act as a centralized point of contact for incoming client requests. lead daily inquiry forwarding to ensure leads are quickly routed to the appropriate Sales Manager.
  • Walk-in Traffic: Proactively engage with direct walk-in traffic, providing information and scheduling follow-up as appropriate.
  • Networking: Represent Terrain Events at designated open-houses, networking opportunities, and industry eventsSales & Administrative Support
  • Lead Monitoring: Under the guidance of the Sales Manager, monitor leads, track customer communication, and adhere to specific direction for quick lead turnaround.
  • Photo Database Management: Manage the curation and maintenance of the photo database, including vendor communication, downloading/uploading incoming photos, categorizing, tagging, and documenting vendors.
  • Collateral & Venue Prep: Support general administrative duties, including the preparation of sales collateral, building tour packets, greeting clients, and maintaining the venue tour readiness.
  • Client Feedback/Reviews: Manage the client review process, which includes reviewing feedback, updating tracking sheets, sending out gift cards, and confirming published reviews.
  • Flexible Coverage: Maintain flexible hours to support location gaps during Sales Manager PTO or sick time coverage when needed.
