About The Position

The Sales Coordinator - Front Desk/Guest Service Agent serves as our guests' first point of contact and manages all aspects of their accommodation and schedules events. Sales Coordinator - Guest Services Agent responsibilities include collecting event information, providing approved contracts, coordinating set up, food and needs of the guest as well as working the front desk registering guests, managing reservations, and providing information about rooms, rates and amenities while continuing efforts to deliver outstanding guest service and financial profitability. This is a non-exempt (hourly paid) position.

Requirements

  • Professional in presentation and demeanor

  • Demonstrated ability to work under pressure in a busy environment
  • Ability to accurately follow instructions, both verbally and written
  • Ability to cross-train in other hotel related areas
  • Must show initiative, including anticipating guest and operational needs

Responsibilities

  • Manage and resolve all guest complaints and compliments professionally and courteously.
  • Checking guests in and out of the hotel efficiently, courteously, and professionally.
  • Reconcile daily activities and close all necessary accounts.
  • Learn the property systems and be able to navigate the system quickly and efficiently including running reports and distribute accordingly.
  • Follow and process proper cash/check/credit card/AR control procedures using proper guidelines and security. Maintain responsibility and proper security over cash and deposits at all time
  • Communicating with other departments to ensure guest requests are handled and following back up with guest to ensure needs are completed to their satisfaction.
  • Assist in preparing proposals, contracts, and follow up leads as directed.
  • Create, update, and maintain sales & catering files.
  • In collaboration with the hotel management, conduct any walk-in or scheduled tours for social blocks and corporate/group potential clients.
  • Inspect event rooms and ready meeting space for site tours and client meetings.
  • Assist the sales & banquet department in setting up or break down of meeting rooms or events, and respond to guest needs as necessary, as needed.
  • Update promotional advertising and communications to returning guests and potential guests.
  • Maintain a professional and creative attitude while dealing with internal and external customers.
  • Special projects as assigned by management.
  • Electronically maintains contact info for VIP guests, returning guests and event customers.
  • Creates and markets special discounts or hotel property opportunities for existing and new customers.
  • Continuously builds relationships in the local market for future business.
