Longwood Gardens is seeking a Sales & Client Experience Coordinator to support our sales team with CRM management, contract administration, and revenue operations. This individual will ensure a seamless client journey from inquiry through booking.

Requirements

  • A minimum of 3 years of corporate, catering, or hospitality sales experience in a hotel, Luxury venue, or event environment
  • Working knowledge of the full sales lifecycle: lead response, proposals, contracts, and operational handoffs
  • Professional, polished communication skills with the confidence to interact directly with planners and executive-level clients
  • Strong organizational skills with exceptional attention to detail and follow-through
  • Proficiency in CRM/event systems and Microsoft Office
  • Experience supporting proposals, presentations, contracts, and financial processes including deposits and reporting
  • Collaborative, hospitality-driven approach focused on delivering seamless, elevated client experiences

Responsibilities

  • Draft and prepare contracts for sales team
  • Manage space assignments in event management systems
  • Track leads in CRM and monitor response times to prevent opportunities from aging
  • Maintain organized digital contract files
  • Serve as first point of contact for event inquiries
  • Coordinate site tour logistics and client experience details
  • Manage Director of Event Sales' calendar
  • Create client-facing presentations and proposals
  • File contracts once actualized and maintain organized digital records for finance and operations
  • Process client payments and deposits
  • Generate monthly and quarterly sales reports as directed
  • Ensure seamless handoffs between sales teams and operations team
  • Support market research to identify prospective clients
  • Assist with outbound prospecting campaigns
