About The Position

The Sales Assistant & Office Admin will assist and support the Sales Operations team by providing administrative, clerical and customer support. Follows up with customers, completes orders and processes sales leads. This position is a full-time, on-site, non-exempt (hourly) role located in Irvine, California.

Requirements

  • Minimum of 3 years of experience in office admin, customer service, or sales related field
  • Proficiency in Microsoft Office Suite (Excel, Outlook, Word, PowerPoint).
  • Excellent written and verbal communication skills.
  • Ability to work independently and collaboratively in a fast-paced environment.
  • Strong attention to detail and commitment to providing exceptional customer service
  • Experience in data entry, customer service, generation of sales reports and administrative writing
  • Must be able to physically handle parts and packages; lift 25 lbs

Nice To Haves

  • Bachelor’s degree or associate Preferred
  • Experience with SAP, C4C, or CRM systems strongly preferred.

Responsibilities

  • Prepare project level quotations and follow up as required
  • Follow up and direct sales leads to appropriate member of sales team
  • Enter leads from trade shows into customer database
  • Organize, maintain, update and track sales demonstration equipment assets
  • Organize sales meetings, special events, conferences and seminars for the Irvine, CA office
  • Arrange meetings and conference rooms for visitors
  • Maintain customer database (C4C implementation)
  • Oversee the Central Dispatch inbox, including Cart to Quote and Web Requests.
  • Handle all other incoming emails to KIC Central Dispatch, ensuring timely and accurate responses.
  • Administer the sales.us inbox by creating and managing support tickets.
  • Process requests for quotes (RFQs), purchase orders (POs), and technical inquiries.
  • Fulfill and track demo equipment orders.
  • Process myKistler registrations and create accounts.
  • Support outside sales with managing key customer accounts.
  • Create quotes and assist with follow-up on customer orders
  • Provide support for urgent orders and customer inquiries
  • Answer customer phone calls and address issues in a professional and timely manner
  • Assist in training new outside sales team members on C4C and SAP systems
  • Perform other duties as assigned
