About The Position

We’re looking for a proactive, detail-driven Sales Admin to support our national sales team and help keep our momentum moving forward. In this role, you’ll be a key partner to Sales, Marketing, Operations, and Supply Chain—ensuring orders are processed accurately, programs stay on track, and our retail partners receive best-in-class support. Requirements

  • Associate degree in Business, Marketing, or a related field, or equivalent work experience.
  • 6–12 months of administrative, sales support, or operations experience.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Strong organizational skills with the ability to manage multiple priorities in a fast-paced environment.
  • Clear communication skills and a customer-first mindset.

Responsibilities

  • Provide day-to-day administrative and operational support to the Mini Melts USA sales organization.
  • Prepare sales proposals, contracts, presentations, and performance reports.
  • Enter, track, and maintain purchase orders with a high level of accuracy and urgency.
  • Support sales follow-ups, including order confirmations, bookings, and customer communications.
  • Maintain customer records, contract balances, pricing details, and program documentation.
  • Manage the Sales Support inbox and respond to internal and external inquiries in a timely, professional manner.
  • Produce and maintain daily and weekly reporting that supports retail execution and inventory health, including: Lost Sales Summary reporting across product categories Plus Out tracking, auditing, and reconciliation FSM inventory and critical item reporting Aged inventory and shipper depletion analysis Smart Stock Program compliance and performance tracking
  • Create, update, and distribute sales tools such as sell sheets, order guides, and program materials.
  • Collaborate with Sales and Marketing on merchandising needs and supply planning.
  • Serve as a professional point of contact for internal teams, distributors, and retail partners via phone, email, and in person.
  • Assist with front desk operations, visitor coordination, and general office support.
  • Provide administrative and program support for key national accounts.
  • Work closely with the Regional Sales Manager on vendor coordination, spoilage tracking, selling expenses, and margin optimization opportunities.
  • Support audits, food safety, and compliance efforts.
  • Follow all Mini Melts USA policies, procedures, and safety standards.
  • Perform additional duties as assigned to support business needs and growth initiatives.
