Why this role matters The successful candidate for this role will oversee pre- and post-sale activities and processes for Gooding Christie’s auctions and private sales, as well as assist specialists with managing client relationships through comprehensive administrative support. The duties are varied and follow the cycle of the auction calendar, in addition to supporting broader departmental activity. In addition, the function of this role is to act as the project manager for the execution of sales by monitoring and tracking all activities and elements related to property for sale. The Sale Coordinator manages all sale-related deadlines and processes, as well as client documentation and charges, ensuring accuracy and proper reflection in internal systems. The Coordinator also acts as a client liaison, as appropriate, to gather and distribute consignment and property-related information.

Requirements

  • Bachelor’s degree required
  • Some prior work experience in a fast-paced, client-facing or operational environment preferred
  • Exceptional client service skills, including strong verbal and written communication
  • Strong project management skills, with the ability to multi-task, prioritize, and manage multiple processes simultaneously
  • Strong attention to detail and follow-up skills
  • Ability to work collaboratively across multiple teams and functions
  • Strong interpersonal skills demonstrated with colleagues, clients, and senior stakeholders
  • Ability to work with discretion when handling confidential information
  • Ability to remain calm in a fast-paced, deadline-driven environment
  • Strong problem-solving skills with a proactive and solutions-oriented approach
  • Ability to work both independently and as part of a team
  • Proficiency in Microsoft Office (including Excel and Outlook); ability to learn internal systems
  • Fluency in English

Nice To Haves

  • Interest in automobiles and/or the collector car market preferred
  • Experience in an auction house or familiarity with auction workflows preferred but not required

Responsibilities

  • Project manage auction and private sale workflows, tracking all activities related to incoming property and sale readiness
  • Manage pre-sale consignment workflow in Salesforce, maintaining accurate records and supporting cross-functional coordination
  • Coordinate the transition of consignment data into internal systems, ensuring accuracy and completeness of information
  • Manage the end-to-end consignment agreement process, including preparation, internal approvals, client communication, execution, and tracking to completion
  • Liaise with specialists, internal teams, and clients to gather, verify, and maintain consignment and client information
  • Manage all sale-related agreements, documentation, and related processes, ensuring compliance with internal requirements
  • Act as liaison to operations, finance, and other internal stakeholders to support sale forecasting, execution and logistics
  • Assist with sale-day operations, including coordination of internal communications and tracking of key sale information
  • Support post-sale processes in coordination with internal teams, including follow-up on outstanding items and efficient and prompt client communication
  • Maintain accurate records across internal systems and support reporting as required
  • Provide support in the management and tracking of the appraisal workflow within department
  • Work closely, efficiently, and effectively with other specialist departments including international and regional offices, external organizations, and individuals.
