About The Position

Coates Field Service, Inc. is seeking a highly motivated and experienced Right of Way Coordinator. The ideal candidate will have strong technical skills, advanced knowledge of right of way processes, and exceptional organizational abilities to manage and oversee multiple responsibilities efficiently. This position will report directly to our client’s office with no possibility of remote work. Local candidates are encouraged to apply. No per diem is available.

Requirements

  • Experience in land records administration and documentation related to pipeline systems.
  • Proficiency in interpreting land-related legal descriptions, plats, alignment sheets, and maps.
  • Knowledge of basic terms in land agreements such as easements, permits, deeds, ordinances, and assignments.
  • Basic land title experience is required.
  • Experience with Quorum data products is required; On Demand Land experience is preferred.
  • Experience using Google Earth and GIS software (ESRI products) is required.
  • Proficiency with Microsoft Office Suite (Excel, Word, Outlook).
  • Strong communication and interpersonal skills, with the ability to handle sensitive and confidential information.
  • Strong analytical skills and high attention to detail.
  • Undergraduate degree in business, communications, or a related field, or equivalent experience.
  • Proven ability to manage electronic data and documents effectively in a fast-paced environment.
  • Previous experience in drafting, reviewing, and processing land and right of way acquisition documents.

Responsibilities

  • Review alignment maps to accurately identify pipeline assets and the associated surface ownership/grantor information. Organize and file documentation in alignment with mapping data. Link digital documents to corresponding parcel information.
  • Review document details within the land database system to confirm accuracy, including grantor/grantee information, recording details, property descriptions, affected assets, and tract/provision data. Document types may include easements, real property leases, deeds, and other land-related instruments.
  • Update and audit the database as required.
  • Plot legal descriptions using deed-plotting software and identify the correct locations on as-built alignment sheets and GIS parcel data.
  • Maintain and manage project databases, including generating accurate reports, performing bulk data manipulation, and ensuring data integrity.
  • Perform quality control for legal documents, ensuring proper execution and notarization.
  • Draft and review right of way and land acquisition documents; provide training and process improvements for the team.
  • Coordinate with internal personnel, field agents, subcontractors, landowners, clients, and other stakeholders to resolve issues before reaching critical status.
