This position may be based in our global operations center in Tampa, FL, or at the Firm's Dallas office. We are seeking a RFP Senior Coordinator to join our team. The RFP Senior Coordinator supports the firm’s business development and growth initiatives by serving as contributor to develop customized client-facing proposals and materials as well as project management of proposal content. Requirements

  • Strong organizational, content management, and interpersonal skills, with the ability to manage multiple priorities and deadlines concurrently.
  • Demonstrated project management skills, including the ability to coordinate workflows, track progress, and ensure timely completion of deliverables.
  • Mastery in Microsoft Office Suite, especially Word and PowerPoint.
  • Experience working with proposal management systems, CRM platforms, and content databases.
  • Ability to work effectively both independently and collaboratively as part of a team.
  • Collegial, team‑oriented approach, with flexibility and willingness to support evolving business needs.
  • Excellent written and verbal communication skills, with strong attention to detail and the ability to distill complex information into clear, concise, client‑focused messaging.
  • Demonstrated ability to shift priorities and adapt to changing deadlines, including availability for occasional evening or weekend work to meet non‑negotiable client deadlines.
  • Bachelor’s degree required.
  • 5 to 7 years of experience supporting proposals, pitches, RFPs, business development, or marketing initiatives, preferably within the legal services industry.
  • In lieu of a bachelor’s degree, 7 to 10 years of relevant professional experience in a professional services environment.
  • Working knowledge of generative AI tools and their application in content development or workflow support.

Nice To Haves

  • Familiarity with Foundation® or similar systems is a plus.
  • Bachelor’s degree in Journalism, English, Marketing, or a related field preferred.
  • Experience supporting law firm business development or proposal efforts is a plus, particularly within transactional and/or litigation practice areas.
  • Experience working with proposal management systems such as QorusDocs is a plus.

Responsibilities

  • Coordinate and manage the execution of proposals and pitches by developing timelines, organizing workflows, tracking deliverables, and supporting timely, high‑quality submissions.
  • Provide ongoing project management of proposals, pitch, and selected RFP content within the firm’s proposal management system, including monitoring content status, managing workflows, and supporting effective reuse of materials.
  • Serve as a resource for proposals and pitches by drafting, editing, refining, and tailoring materials such as executive summaries, cover letters, experience and capability descriptions, standardized responses, and attorney biographies, as well as selected RFP content.
  • Manage proposal‑focused content within the proposal management system, including content organization, version control, tagging, updates, and tracking of submissions and outcomes.
  • Work closely with Business Development colleagues to review, maintain, and refresh proposal‑focused content in the proposal management system, ensuring information remains accurate, current, and aligned with firm messaging and practice priorities.
  • Maintain and support the development of proposal and pitch content libraries, templates, and standard language to promote consistency, quality, and efficiency across submissions.
  • Collaborate with Business Development and Practice Development colleagues to ensure proposal and pitch content reflects current firm capabilities, priorities, and client requirements.
  • Support proposal and pitch processes by coordinating contributor input, following up on outstanding items, and assisting with routine content‑ or timeline‑related issues.
  • Ensure proposal, pitch, and RFP materials comply with firm branding, formatting standards, confidentiality requirements, and client guidelines.
  • Maintain accurate tracking of proposal and pitch activity within the firm’s proposal management and CRM systems to support reporting and reference needs.
  • Partner with the Senior RFP Manager and Director to support day‑to‑day use, maintenance, and continuous improvement of the proposal management system, including adherence to content standards and best practices.
  • Assist with proposal‑related initiatives, content projects, and other duties as assigned.
  • Expected to maintain a regular and predictable work schedule and full attention to and engagement in work activities on behalf of the firm during business hours unless otherwise approved or required by applicable law.
