About The Position

We’re looking for a high-energy, detail‑driven, emotionally sharp administrative professional who thrives in a fast-paced environment, supports teammates with confidence, and communicates clearly with customers and vendors. This isn’t ordinary office work it’s administrative support with purpose. You’ll help organize projects that begin after fires, floods, and other disasters. You’ll keep schedules aligned, documentation accurate, vendors coordinated, and customers informed so that families and businesses can begin their recovery with clarity and trust. You’re the calm, organized backbone behind the scenes that keeps everything running smoothly.

Requirements

  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office (Outlook, Word, Excel).
  • Strong attention to detail, organization, and planning skills.
  • Valid driver’s license and clean background/driving record.
  • Comfortable in a fast-paced, team-oriented office environment.
  • High School Diploma or GED required.
  • 2+ years of administrative or office experience required.

Nice To Haves

  • Experience with estimates, job files, or quality assurance is a plus.

Responsibilities

  • Monitor and ensure client requirements are followed on all assigned jobs.
  • Review and validate initial field documentation for accuracy.
  • Confirm budgets and work orders before projects begin.
  • Ensure compliance with standards, regulations, and internal procedures.
  • Develop productive partnerships with vendors and tradesmen.
  • Negotiate profitable agreements with subcontractors and external partners.
  • Communicate project updates to key stakeholders through regular reports.
  • Clarify project scope with Project Managers and document all specifications.
  • Assist with recruiting, onboarding, and managing subcontractor networks.
  • Complete and review job file documentation for final audits and upload.
  • Educate customers on products or services and articulate their purpose and value.
  • Support daily operational tasks and cross-functional teamwork.
  • Assist other departments as needed to keep jobs moving forward.
