About The Position

The Resources & Logistics Coordinator serves as the project management lead for resource initiatives and special events. This role is responsible for planning, coordinating, tracking, and aligning cross-functional projects to ensure strategic objectives are met on time and within scope and budget. This position owns project orchestration from initiation through execution, ensuring all stakeholders, deliverables, timelines, and risks are clearly defined and actively managed. ABOUT TRAIL LIFE USA Trail Life USA is a Not-for-profit, Church-Based, Christ-Centered, Boy-Focused mentoring and discipleship journey that speaks to the heart of a boy. Established on timeless values derived from the Bible and set in the context of outdoor adventure, boys from Kindergarten through 12th grade are engaged in a Troop setting by male mentors where they are challenged to grow in character, understand their purpose, serve their community, and develop practical leadership skills to carry out the mission for which they were created. Requirements

  • Strong project management and organizational skills
  • Ability to prioritize multiple initiatives simultaneously
  • Clear and confident communication skills
  • Systems-thinking mindset
  • Ability to work effectively across teams and roles
  • Bachelor’s degree from an accredited college or university preferred.
  • Previous project management experience required.
  • Event planning or logistics coordination experience required.
  • Membership in Trail Life USA, subscription to and constant adherence to the Trail Life USA Statements of Faith and Values, agreement and adherence to the Trail Life Code of Conduct, and agreement and adherence to the Employee Handbook.

Responsibilities

  • Develop comprehensive project plans for resource initiatives and special events, including scope, timelines, milestones, budgets, and deliverables.
  • Clarify ownership of tasks across departments and ensure alignment with strategic objectives.
  • Manage project timelines proactively, identifying dependencies and resolving bottlenecks.
  • Track progress consistently and provide structured updates to leadership and stakeholders.
  • Facilitate project kickoff meetings and milestone reviews to maintain momentum and accountability.
  • Ensure all initiatives are properly documented and aligned within established project management systems.
  • Coordinate logistics planning in partnership with appropriate departments or vendors to support project success.
  • Ensure vendor deliverables, resource distribution, and procurement timelines align with project plans.
  • Monitor inventory and supply needs in coordination with relevant staff to prevent disruption.
  • Confirm logistical readiness prior to special events or distribution milestones.
  • Serve as the central point of contact for project status, ensuring clear, timely communication with stakeholders.
  • Prepare and present regular status reports highlighting progress, risks, performance metrics, and next steps.
  • Facilitate cross-departmental alignment meetings as needed to resolve conflicts and maintain forward movement.
  • Anticipate potential risks or conflicts and develop contingency plans before issues escalate.
  • Identify process inefficiencies and recommend improvements to enhance execution speed and clarity.
  • Propose cost-saving and time-saving adjustments without compromising quality or mission alignment.
  • Work collaboratively with internal teams and external partners to ensure seamless execution of resource initiatives.
  • Foster a culture of accountability, clarity, and shared ownership across departments.
