About The Position
Gamble Sands in Brewster, WA is excited to announce the exceptional career opportunity of Resort Group Coordinator. Position Summary The Group Coordinator supports the planning and execution of all confirmed group events at Gamble Sands. Once a contract is finalized, this position becomes the main internal point of contact—coordinating details across Lodging, Golf, and Food & Beverage to ensure every group experience meets the resort’s service standards. This role requires organization, clear communication, and the ability to manage multiple priorities in a dynamic resort environment.
Requirements
- 2+ years of hospitality, event coordination, or guest service experience.
- Strong organizational and communication skills.
- Proficiency in Microsoft Office and general computer systems.
- Ability to multitask and maintain accuracy under pressure.
- Flexible availability, including weekends and holidays.
Nice To Haves
- Experience in a resort or golf environment preferred.
- Familiarity with hospitality management or event planning systems preferred.
Responsibilities
- Event Coordination: Act as the main internal liaison for confirmed group events.
- Prepare and distribute group itineraries, event details, and internal communication documents.
- Coordinate room assignments, dining schedules, and golf activities in partnership with department leads.
- Support smooth group arrivals, on-site experiences, and departures.
- Communicate changes, updates, or special requests promptly to all teams.
- Administrative & Communication: Maintain accurate and up-to-date group information in resort systems.
- Track event progress and ensure internal departments are informed and prepared.
- Review billing accuracy and support final reconciliation with Accounting and Sales.
- Participate in planning meetings and post-event recaps to improve future processes.
- Collaboration: Work closely with the Resort Sales Manager and department supervisors to align details.
- Support leadership by providing regular updates on upcoming and active group events.
- Assist with special resort events, tournaments, and VIP functions as needed.
